Position Title

Retail and Senior Accounting Assistant

Job Summary

The Retail and Senior Accounting Assistant operates a cash register, assists customers, receives and checks in merchandise, conducts buy back transactions and maintains an accurate inventory at the Southlake Bookstore. Maintains daily paperwork, processes invoices for accuracy and payment, following up when necessary, reconciles Auxiliary Service invoices and reconciles credit card statements.

Job Description Student / Customer Service – 50%
  • Operates a cash register and processes transactions including cash, check, credit card, and financial aid payments.
  • Accurately receives and checks in merchandise and merchandise transfers.
  • Processes customer returns and re‑stocks returned merchandise as appropriate.
  • Provides customer service by responding to questions and assisting students, faculty, and staff.
  • Updates and distributes department communications and information as needed.
  • Coordinates with Accounts Payable regarding invoice processing and payment status.
Department Operations and Procedures – 40%
  • Opens and closes bookstore operations following established procedures.
  • Prepares bank deposits and daily sales documentation for all Grayslake bookstore locations.
  • Reconciles credit card statements and resolves discrepancies.
  • Reviews and processes Auxiliary Services invoices to ensure accuracy with contractual agreements; researches discrepancies, maintains billing records and communications, and submits invoices for payment.
  • Assists with processing bookstore invoices and submitting them for payment.
  • Enters required financial aid data; sorts, organizes, and prepares financial aid documentation for submission to the Grayslake bookstore.
  • Collaborates with bookstore staff to complete inventory counts, semester textbook inventories, and fiscal year‑end inventory processes.
  • Processes departmental charge transactions.
  • Prices and stocks general merchandise and creates merchandise displays as needed.
Other Duties – 10%
  • Participates in cross‑departmental initiatives and campus events.
  • Identifies and recommends process enhancements to improve efficiency and service delivery.
  • Performs other duties as assigned to support department and institutional objectives.
Required Qualifications
  • High School Diploma or equivalent required.
  • Minimum of two (2) years of retail, finance, accounting, or customer service, preferably in an educational or bookstore environment.
  • Cash handling experience.
  • Ability to work at all campus bookstores if needed.
  • Working proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
  • Ability to follow instructions, manage multiple tasks, and meet deadlines independently for routine work, with support for new or complex tasks.
  • Ability to work effectively with individuals from diverse backgrounds and maintain a respectful, inclusive environment.
Desired Qualifications
  • Prior experience working with inventory control systems.
  • Experience working with computer information systems used for student and employee data and reporting such as Workday.
Work Schedule

8:00 am – 1:00 pm Monday – Friday

Works occasional Saturdays to coincide with the beginning of semester or campus events. At times may be used to cover shifts at another campus.
