- Student/Customer Service (50%):
Greet visitors, answer phone calls, handle routine inquiries and emails, schedule appointments, process student medical records for clinical participation, and refer as appropriate. Ensure and maintain complete confidentiality of student and staff records/interactions at all times. Maintain appropriate boundaries in all interactions with students and staff, referring all those presenting to the Center to an appropriate professional physical/mental healthcare provider for consult or treatment. - Department Operations/Processes (45%):
Prepare and/or compose basic and various correspondence, memos, agenda items, reports, and meeting notes. Update and maintain database of records (student, employee, program, billing). Coordinate and maintain calendar of events, appointments, meetings, catering activities, and travel arrangements. Collect and prepare data for various reports. Carry out recurring office procedures. Organize and maintain office files, manuals, records, bulletin boards, etc. Monitor budget and bring concerns to the Director.
Process payment requests, purchase orders, requisitions, and invoices. Maintain inventory of supplies and forms, reordering as necessary. - Other (5%):
Assist in preparation and distribution of brochures, flyers, and other department materials; sort and distribute mail; perform other related duties as assigned.
Required
- High school diploma or equivalent.
- Three (3) years of office support or administrative experience.
- Ability to interact and engage with a diverse student body.
- Ability to work with confidential information.
- Excellent interpersonal skills.
- Excellent organizational and communication skills.
- Word processing and computer literacy.
- Ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities.
- Demonstrated sensitivity to and ability to work with the diverse academic, socioeconomic, cultural, and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities.
- Ability to establish and maintain effective working relationships with those contacted in the course of work.
Preferred
- Bilingual in Spanish and English
8:00am - 4:30pm, Monday - Friday
Pay$17.73/hour
