Conference Planning Manager

From crafting detailed proposals to overseeing flawless execution, you’ll guide clients through every step of the process. Whether conducting a site inspection or coordinating final details, you’ll be the go‑to partner for clients and a key driver of group success.

The Conference Planning Manager serves as the primary liaison between the hotel and the client once a contract is finalized. This position manages each group’s stay from pre‑arrival through post‑departure, ensuring all details are communicated and executed across departments—including meeting rooms, guestrooms, food & beverage, transportation, and additional event needs.

• Prepare and distribute detailed Group Resumes, Banquet Event Orders, and other internal documents.
• Consult with clients on meeting details such as guest counts, room setups, menus, and audiovisual needs.
• Manage group room blocks, cut‑off dates, and special arrangements.
• Guide clients through menu planning and recommend customized options.
• Review group billing for accuracy and assist with attrition calculations as needed.
• Collaborate with all hotel departments to ensure a smooth and successful event.
• Be available on weekends when needed to oversee events.
• Maximize hotel revenue through up‑selling amenities, enforcing cut‑off dates, calculating attrition, and driving food & beverage sales.
• Other duties as assigned.

• 2+ years of Conference Planning experience in a hotel required.
• Strong knowledge of food & beverage, menu planning, meeting room logistics, and event setup requirements.
• Leadership experience preferred.
• A high school diploma or equivalent is required; a 2 to 4‑year college degree is a plus.
• Must be proficient with Windows operating systems and sales/meeting planning software.
