Reports to: Director of Restaurants & Outlets
Status: Non-exempt
Responsibilities- Answer and respond to incoming phone calls and email inquiries to book reservations, special events and large parties using Open Table and Triple Seat Platforms. Provide administrative support to the Food & Beverage Management team, including calendar scheduling, correspondence, and handling incoming and outgoing phone calls.
- Perform general office duties such as ordering supplies, distributing mail and paychecks, and creating and maintaining files and records.
- Assist with travel arrangements and reservation-related requests as needed.
- Ensure accuracy and quality control of all written documentation through proofreading and editing.
- Support Food & Beverage events and activations by ordering supplies, booking vendors, and assisting with event booking processes.
- Work closely with the Sales team to ensure group F&B and catering commitments are properly coordinated and set for success.
- Actively participate in BEO (Banquet Event Order) and resume meetings.
- Assist with management of the reservation system, staff scheduling, and schedule adjustments.
- Support quality control initiatives to maintain service and operational standards.
- Assist with Food & Beverage training coordination and compliance, including required F&B certifications.
- Assist with payroll on a daily and weekly basis for all restaurant personnel.
- Support compliance with company policies, labor standards, and food and beverage regulations.
- Perform other duties as assigned by the Director of Food & Beverage.
- This position will have access to confidential information, and it is imperative that he/she maintain high level of confidentiality at all times.
- Polished and professional appearance and demeanor in person, online and via phone. Excellent communication skills both written and verbal.
- Ability to provide customer service that is above and beyond for customer satisfaction and retention.

- Proficient in MS Excel, Word, PowerPoint; comfortable with learning new software and systems.
- Highly honed organization skills and strong attention to detail.
- Ability to handle stressful situations and deadlines.
- Bilingual and luxury hotel experience a plus but not required.
- 2 years of experience in administrative assistance, clerical services, HR/Payroll handling, or related professional area, and/or 2-year degree from an accredited university of Secretarial Studies, Business Administration or Hotel and Restaurant Management.
- Requires standing for extended periods, walking, pushing, lifting up to 25 pounds, bending, reaching, stooping, kneeling or crouching.
