The Office Support Coordinator is responsible for maintaining and managing all aspects of the office while executing administrative duties as assigned. This includes management and organization of property, maintenance and IT assets. This position is the first point of contact and must maintain a professional, clean, and neat image along with a positive, customer service-oriented demeanor while always striving to excel and improve.

Responsibilities/Accountabilities
  • Covering the front desk and the tasks that come with that
  • Greet and welcome visitors, clients, and staff, ensuring a positive first impression
  • Manage a company phone to access entry for visitors
  • Maintain calendars for all board and meeting space in the building by coordinating with the leadership team (including the Senior Leadership Team, All Managers and Supervisors)
  • Handle mail, deliveries and office correspondence
  • Manage office supplies and re‑stock as needed
  • Perform general administrative duties such as filing, scanning, and other clerical duties as needed for the Senior Leadership Team (SLT)
  • Assist with maintaining a clean, organized, and safe office environment within all common areas of the building (including meeting rooms, break room, lobby and restrooms, etc.)
  • Assist in ordering and setting up all meals needed for events and meetings and the cleaning up after the meetings
  • Support office staff and management with various administrative tasks as needed
  • Responsible for ordering all business cards for the company as needed
  • Assist in creating visually appealing flyers and announcements when needed
  • Manage the Asset Tiger (a control system for company assets)
  • Assist and coordinate with managers on all new hires and terminations for the alarm system, IT assets, cell phones and computers as needed
  • Maintain a complete company phone list
  • Responsible for getting all employees connected to the building security system
  • Responsible for the IT room, keeping it locked and organized
  • Responsible for invoice approvals for serval services within the office
  • Responsible for the upkeep and stocking of water and coffee at the front office pantry
  • Responsible for security at the front door during working hours
  • Assist Human Resources with administrative tasks, projects and events
  • Help with coordinating company events, training, and employee engagement activities when needed

Qualifications
  • High school diploma or equivalent; associate degree or office administration certification is a plus
  • 1‑2 years of office administration
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (copiers, fax machines, etc.)
  • Strong verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Ability to multitask, prioritize tasks, and manage time effectively
  • Friendly, professional demeanor with a focus on customer service
  • Strong interpersonal skills for interacting with customers and colleagues
  • Ability to work independently and as part of a team
