Patient Access Specialist (BHS)
Reports to the Supervisor or Manager. Follows established Beacon policies and procedures to admit and register patients for services in a professional and courteous manner. Completes pre‑registration, registration, insurance verification, and accurately interprets eligibility responses to relay information back to the patient. Communicates effectively with internal and external customers. Collects applicable co‑payments, deductibles, and obtains insurance information from the patient. Verifies insurance benefits, posts co‑payments and deductibles, and performs daily cash balancing procedures.
Obtains all required signatures on paperwork and performs clerical duties as necessary. Maintains regulatory and functional knowledge of all information required to ensure timely and accurate reporting/billing.

- Schedule patients with providers, utilize multiple scheduling templates, and maintain appointments (in‑person and digital).
- Complete patient screening and sign‑in process while minimizing wait times and informing patients of delays.
- Check patients in for appointments and handle any special needs.
- Accurately capture all necessary patient data, insurance, and information for proper claim processing.
- Review orders for completeness and print or attach orders to the correct account from WQM.
- Assist patients in obtaining an order when one was not sent, or request a complete order when needed.
- Scan registration documents into the EMR.
- Verify insurance eligibility and benefits in Experian; review alerts to correct errors in Cerner PM Office or Cerner Practice Management.
- Run Experian estimate to identify co‑pay, co‑insurance, and/or patient deductible.
- Process payment in Rev Spring and generate receipt.
- Maintain cash drawer and reconcile at end of shift.
- Refer self‑pay patients to the eligibility specialist and to the financial counselor for payment arrangements.
- Check Medicare Medical Necessity in Cerner Stand‑Alone and produce an ABN when appropriate.
- Adhere to any specific payer requirements such as MSPQ.
- Monitor work queues, schedules, and reports daily to ensure accurate scheduling, authorization capture, insurance eligibility, and timely account alert resolution.
- Protect patient confidentiality when handling orders and check‑in documents.
- Obtain signatures via e‑signature or paper for consent to treat, privacy notice, and all necessary forms.
- Ensure patients are checked out and schedule necessary follow‑up appointments accurately.
- Provide required wellness paperwork and route to scan; generate proof of appointment for employer or school.
- Complete insurance payer forms:
Medicaid patient add form, etc. - Use multiple software platforms (EMR, insurance websites, referral database, scheduling software) to conduct tasks.
- Prepare and open office reception area; keep it tidy; ensure all patients are checked out at close of office.
- Welcome patients, families, and visitors and direct them to appropriate locations promptly.
- Act as a representative of Beacon Health System and strive to make a good first impression.

- Assist the department in meeting or exceeding quality assurance goals.
- Strive to process an optimal number of registrations during each shift.
- Identify and communicate problems to supervisory personnel and participate in corrective actions.
- Maintain records, reports, and files as required by departmental policies.
- Meet assigned collections goals through effective time‑of‑service collections.
- Complete all other job duties as assigned.
- Answer questions and provide information based on department and Beacon guidelines.
- Notify departments of delays or late appointments and keep patients informed of wait times.
- Complete all mandatory in‑services in a timely manner and attend scheduled departmental meetings.
