The Chapter Coordinator serves as the primary point of contact and support resource for all Minnesota Deer Hunters Association chapters. This position plays a critical leadership role in strengthening Chapter operations, increasing fundraising success, growing membership, and ensuring consistent communication between Chapters and the MDHA State Office.
In addition to direct Chapter support, the Chapter Coordinator supervises three MDHA Field Representatives who provide “boots-on-the-ground” assistance to Chapters throughout the state. This role is ideal for an individual who is passionate about conservation, hunting heritage, volunteer engagement, and building strong grassroots organizations.
Key Responsibilities Chapter Support & Relations- Serve as the primary liaison between MDHA Chapters, Regional Directors, and the State Office.
- Build and maintain strong, positive relationships with Chapter officers and volunteers statewide.
- Provide ongoing guidance on Chapter operations, policies, and best practices.
- Respond promptly to Chapter inquiries and troubleshoot operational challenges.
- Assist with Chapter compliance with MDHA bylaws, policies, and reporting requirements.
- Support Chapter fundraising events, including banquets, raffles, and special events.
- Assist Chapters with:
- Event planning and timelines
- Sponsorship solicitation strategies
- Auction and raffle best practices
- Use of MDHA fundraising tools and software
- Collect and review post-event reports to ensure accuracy and completeness.
- Identify opportunities to improve event profitability and consistency across Chapters.
- Provide direct supervision and leadership to three MDHA Field Representatives who deliver “boots-on-the-ground” support to Chapters across Minnesota.
- Coordinate Field Representative coverage to ensure Chapters receive timely, consistent, and effective in-person assistance.
- Set priorities, schedules, and expectations for Field Representatives based on Chapter needs, fundraising calendars, and statewide initiatives.
- Serve as the primary point of communication between Field Representatives and the MDHA State Office.
- Support Field Representatives in assisting Chapters with:
- Fundraising events and banquets
- Membership recruitment and retention
- Officer training and leadership development
- Reporting, compliance, and operational best practices
- Provide coaching, feedback, and performance oversight to ensure high-quality Chapter support.
- Collect insights and field reports from Field Representatives and share key trends, challenges, and opportunities with MDHA leadership.
- Collaborate with Field Representatives to identify proactive solutions that strengthen Chapter health and long-term sustainability.
- Identify opportunities to expand MDHA’s presence by developing new chapters in underserved or high-potential areas of Minnesota.
- Work collaboratively with MDHA Field Representatives to assess local interest, leadership capacity, and geographic feasibility for new chapters.
- Engage prospective volunteers, community leaders, landowners, and partners to build momentum for chapter formation.
- Guide emerging chapters through the startup process, including:
- Initial interest meetings and outreach
- Officer recruitment and onboarding
- Compliance with MDHA bylaws, policies, and reporting requirements
- Early fundraising and membership development strategies
- Coordinate with the State Office to ensure new chapters are properly chartered, trained, and supported.
- Monitor the health and sustainability of new chapters during their formative years and provide targeted support as needed.
- Share insights on expansion opportunities and regional growth trends with MDHA leadership to support long-term strategic planning.
- Collect, review, and track chapter reports, including:
- Fundraising reports
- Officer rosters, in conjunction with Membership Coordinator
- Membership and fundraising metrics
