OverviewProvide executive level administrative support to the bank President/CEO/Chairman to maximize efficiency, organization, and office management. Handles projects with minimal supervision that are typically complex and confidential in nature. Salary Range: $52,500-$72,900 depending upon experience. Benefits Include:

Provide administrative support to the President/CEO/Chairman to assure all duties are handled in a timely, efficient, and discreet/confidential manner.
- Prepare business and personal correspondence, documents, and various reports for the President/CEO/Chairman, other executive management staff, and internal as well as external audiences
- Send daily calendar recap/highlights and daily reports for Grand Rapids State Bank (GRSB) and Minnesota Lakes Bank (MNLB) each morning
- Schedule and prepare monthly and annual GRSB and MNLB board reports and minutes to be reviewed by board members and bank examiners
- Disburse GRSB and MNLB checks to directors after board meetings and confirmation of attendance
- Prepare quarterly board reports and minutes for Wilcox Bancshares, Inc. (WBI)
- Keep track of, and independently, make sure that certain monthly, quarterly, semi-annual and annual tasks are completed and kept current (i.e. agenda items for townhall meetings at GRSB and MNLB quarterly, balance sheet and statement of earnings (short version) to shareholders quarterly, schedule WBI Minnesota estimated corporate tax quarterly, renew Secretary of State business renewals annually, etc.)
- Manage calendar, schedule appointments for the President/CEO/Chairman and have any related information available for review prior to scheduled meetings to ensure proper preparation
- Submit PTO requests of direct reports for review, approve/deny in Self Source, and add to President/CEO/Chairman’s calendar along with employee birthday’s
- Prepare and send sympathy cards for GRSB (print out customer profile and notify appropriate officers)
- Order plants or floral arrangements for funerals, staff, or the bank as instructed by the President/CEO/Chairman
- Facilitate event planning (post-holiday parties, shred day, flag pins, etc.) and distribution of event tickets (Reif, Riverfest, Minnesota Vikings, etc.)
- Maintain GRSB Christmas card list and format MNLB Christmas card list for printing company and confirm and organize staff Christmas gifts
- Ensure proper signage is posted and removed at GRSB in a timely manner and monitor bulletin boards for appropriateness and date sensitive events
- Execute multiple projects concurrently that may be complex in nature with minimal supervision and utmost confidentiality
- Prepare documentation and maintain files for large-scale projects
- Maintain filing system for the President/CEO/Chairman as requested
- Prepare monthly and annual reports and minutes for various committees as directed
- Provide telephone support and either gather important information to pass along or redirect to the appropriate person/department
- Evaluate and distribute bank and personal mail to appropriate parties; processing of related loan documentation to ensure bank regulatory requirements are met
- Maintain daily input of tickler information of real estate files to track real estate tax delinquencies which could affect position of banks interest
- Prepare annual update of delinquent real estate taxes on all parcels mortgaged to GRSB from various county websites; additional duties
- Willingness to work outside of normal business hours as needed and as directed
- Provide personal support as needed and directed
- Provide notary services as needed; other duties as assigned
Education:
- Two years post-high school degree or equivalent certification preferred;
Minimum Experience: - Ten years of executive support experience in a banking environment
