Gentiva Hospice is seeking an Office Coordinator to join our branch in a vital administrative role. As the Office Coordinator, you’ll ensure daily operations are efficient, organized, and compliant—so our clinical team can focus on delivering exceptional end-of-life care.
You’ll be the heart of the branch, supporting both staff and patients with professionalism, empathy, and precision. This position will be located in our Fremont office on average 3 days/week and the other 1-2 days in Grand Rapids.
- Support the day-to-day non-clinical operations of the branch
- Ensure compliance with internal policies, procedures, and regulatory requirements
- Maintain and close medical records in accordance with policy and audits
- Obtain missing documentation and physician signatures for charts
- Manage release of information requests and ensure appropriate authorizations
- Oversee chart purging, archiving, and indexing of patient records
- Coordinate care schedules and assist with visit logistics and field staff communications
- Serve as the branch’s New Hire Champion and assist with onboarding activities
- Maintain personnel files, contracts, and HR documentation in compliance with policy
- Order supplies, answer phones, and provide general administrative support
- Process accounts payable and route appropriately
- Support interdisciplinary team (IDT) meetings and quality assessment efforts
- Work collaboratively with IT, HR, Compliance, and other departments as needed

– What You’ll Bring
- High school diploma or equivalent
- Minimum of 3 years experience in the healthcare industry
- Experience working with medical records strongly preferred
- Proficiency with Microsoft Office and EMR systems (Home Care Home Base preferred)
- Excellent organizational, time management, communication, and customer service skills
- Ability to handle multiple priorities, remain flexible, and maintain professionalism
- Comfortable working independently and collaboratively in a fast-paced office environment
- Strong interpersonal skills and the ability to work with individuals of diverse backgrounds
- Reliable transportation and ability to operate basic office equipment
- Medical records or healthcare administration background
- Familiarity with hospice or home health care operations
- Experience supporting clinical or interdisciplinary teams
- Previous exposure to HR processes, compliance requirements, and quality programs
- Skills in scheduling, documentation management, and reporting
- High comfort level working with sensitive patient information and regulatory standards
