Title: Patient Services & Front Desk Coordinator – Concierge Family Medicine

Location: Ada, MI (In-person)

Employment Type: Part-time to Full-time (20–25 hrs/week initially, growing to full-time within 6–12 months)

Role Overview

As our Patient Services & Front Desk Coordinator
, you are the first point of contact for patients and visitors. You’ll ensure a warm, organized, and professional experience
, supporting both administrative operations and patient communication. This role is ideal for someone who thrives in a patient-centered, detail-oriented environment

Key Responsibilities
  • Serve as the first point of contact for patients and visitors, representing our mission and values
  • Check patients in and onboard new patients efficiently
  • Handle patient payments, billing questions, and insurance communication
  • Manage scheduling, appointment coordination, follow-ups
    , and patient messages
  • Triage and escalate clinical concerns appropriately via EMR, email, and phone
  • Coordinate referrals and outside office communication
  • Maintain accurate, up-to-date patient records and documentation
  • Support front desk operations and general administrative projects as needed
Skills & Qualifications
  • Exceptional interpersonal, communication, and customer service skills
  • Highly organized, detail-oriented, and dependable
  • Comfortable handling high volume of messages, appointments, and patient requests
  • Professional, discreet, and emotionally intelligent
  • Experience in a medical office, concierge service, hospitality, or customer-facing role is helpful but not required
  • Clinical background is a plus, but strong administrative and people skills are essential
