Office Coordinator – Hepatology – Full Time (40 Hrs)/Days – Grand Rapids
Job Title: Office Coordinator – Hepatology
Job Type: Full‑time – Monday to Friday, 8:00 AM–5:00 PM
Location: Grand Rapids Outreach Location – 4100 Lake Drive SE Suite 205, Grand Rapids, MI 49546
Travel: Must be willing to travel to the Muskegon office once per month.
General SummaryUnder the general supervision of the department manager, the Office Coordinator is responsible for the day‑to‑day operations of our Grand Rapids outreach location, ensuring efficient administrative processes, high‑quality patient service and effective team coordination.
Primary Responsibilities- Coordinate daily office operations and ensure smooth administrative workflow.
- Serve as the first point of contact for guests and patients, providing excellent customer service and addressing immediate needs.
- Supervise and support clerical/administrative staff, including scheduling and staffing coordination.
- Lead orientation and onboarding of new team members.
- Act as a resource for office and clerical staff, addressing questions and resolving issues.
- Maintain accurate records and oversee office compliance with departmental standards.
- Support clinical team with prior authorizations and medical documentation as needed.
- Utilize EPIC system for scheduling, patient records, and communication.
- Travel to an off‑site location once per month to support outreach operations.
- Minimum of four years of experience in an office coordinator or equivalent administrative role.
- Medical Assistant or EMT background preferred.
- Experience with EPIC and prior authorization processes preferred.
- Strong communication and organizational skills.
- Ability to work independently with minimal supervision.
- Proficient in Microsoft Office Suite and general office systems; problem‑solving and staffing coordination skills.
- High‑school graduate or GED equivalent (required). Associate’s degree in Business, Medical Assisting or Healthcare Management preferred.
- Four years of previous experience in a hospital/healthcare office setting.
- Knowledge of medical terminology and general office procedures.
- Literacy and experience using Microsoft Office software programs required.
- Previous supervisory or team‑leader experience preferred.
- Advanced knowledge of office equipment.
