Executive Assistant – Whitley, Yorkshire

Tunstall Healthcare Group, a market‑leading health and care technology provider, is hiring an experienced Executive Assistant to support the CEO, CFO and CTO at our head office.

What will you be doing in this role?

Provide high‑level proactive administrative support to C‑suite executives, including planning and coordinating meetings, arranging events, drafting communications, taking minutes, organising travel (domestic and international) and managing executive calendars.

This is a hybrid role; you will be required to be in the office whenever the CEO is onsite, typically 2–3 days per week, with flexibility for short‑notice travel.

Ideal Candidate

Proven experience as an Executive Assistant to C‑suite members, with a track record of planning and coordinating board meetings, company events and international travel and visa requirements. Excellent organisational, planning and time‑management skills, strong written and verbal communication, flexibility, proactive mindset, high attention to detail and a positive attitude.

Key Areas of Responsibility
  • Maintain and manage the executives’ calendars, schedule appointments, meetings, and conferences.
  • Coordinate with stakeholders to prioritise and plan meetings, ensuring effective use of executive time.
  • Plan, set up and coordinate executive meetings, including board meetings, company events and workshops, preparing agendas and organising logistics.
  • Make travel arrangements, including flights, accommodation, ground transport and visa arrangements, in line with group policies.
  • Prepare detailed itineraries and ensure executives have all necessary documents for travel.
  • Prepare meeting agendas, presentations and necessary materials.
  • Manage company credit card and usage in line with policy and finance practices.
  • Handle expense reports related to travel and reconcile them promptly.
  • Draft and review correspondence, internal communications, emails, reports and presentations on behalf of executives.
  • Prioritise and escalates urgent matters to ensure timely responses.
  • Meet visitors, greet them and prepare meeting rooms for an excellent experience.
  • Attend meetings, take minutes and distribute them to relevant parties.
  • Follow up on action items and ensure completion within timelines.
  • Handle sensitive and confidential information with discretion.
  • Manage and organise electronic and physical files, documents and records.
  • Conduct research, gather data and prepare reports and presentations as requested.
  • Track progress, gather updates and report on project status.
  • Build and maintain positive relationships with internal and external stakeholders.
Key Skills and Experience
  • Proven executive assistant experience to C-suite members in an international business.
  • Excellent organisational, planning and time‑management skills, with ability to prioritise tasks and manage multiple deadlines.
  • Experience arranging company meetings, conferences and workshops.
  • Strong written and verbal communication skills at all levels.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Proactive approach, able to spot conflicts early and resolve them in a timely manner.
  • Advanced computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, SharePoint) and other relevant software.
  • Experience in planning and coordinating events and travel arrangements, including international travel.
  • High attention to detail and accuracy.
  • Ability to work independently with minimal supervision.
  • Ability to work to tight timescales.
  • Methodical and articulate approach.
  • Flexible and adaptable approach to work.
  • Positive attitude and willingness to take on new tasks as required.
