About the Role:

We're seeking a detail-oriented Administrative Assistant to join our client's team in Goleta, CA. This is a direct hire position offering stability, competitive pay, and outstanding benefits. In this role, you'll provide essential administrative and clerical support to multiple departments and the Governing Board, ensuring smooth day-to-day operations.

What You'll Do:
  • Serve as the first point of contact for visitors and callers, delivering exceptional customer service.
  • Manage a variety of administrative tasks including scheduling, meeting coordination, and travel arrangements.
  • Prepare and proofread correspondence, reports, and Board agenda packets (including confidential materials).
  • Maintain organized filing systems for records, notices, and other documents.
  • Assist with accounts payable: process invoices, obtain approvals, and enter data into financial systems.
  • Handle incoming payments and prepare outgoing mail and correspondence.
  • Order office supplies and coordinate equipment maintenance.
  • Support communication with mobile units via base radio station and maintain logs.
  • Keep reception and office areas tidy and organized.
  • Perform other duties as assigned to support the team's success.
What We're Looking For:
  • Education/

    Experience:

    High school diploma or GED required; 2+ years of administrative experience preferred.
  • Strong computer skills with proficiency in MS Office (Word, Excel, etc.).
  • Ability to type at least 50 WPM and maintain accurate, legible documentation.
  • Excellent communication skills—both written and verbal.
  • Strong organizational skills and ability to manage multiple priorities under deadlines.
  • Basic math and bookkeeping knowledge.
  • Professional, courteous demeanor with a commitment to confidentiality.
