The Hub Spot System Operations Administrator is the primary owner and strategic administrator of Colorado 811’s Hub Spot ecosystem, including CRM, Marketing Hub, Service Hub, Operations Hub, Reporting, and Integrations
. This role leads Hub Spot system architecture, configuration, automation, integrations, data governance, and ongoing platform optimization to ensure a secure, scalable, and high‑performing environment that supports enterprise business operations.

This position partners cross‑functionally with Data, IT, Contact Center, Membership, Marketing, Accounting, Executive leadership
, and external vendors to translate business requirements into effective Hub Spot solutions that improve operational efficiency, data integrity, and the end‑to‑end customer experience.

• Lead the setup of all Hub Spot modules including CRM (AI), Service Hub, Marketing, eCommerce, and Reporting across the organization, and integrate Hub Spot with platforms such as Quick Books, Learning Management System, Exactix, and others, ensuring seamless data exchange, strong data governance, secure access, and operational efficiency.
• Serve as primary administrator and power user for Hub Spot, maintaining operational and data health, and overseeing configuration, optimization, day‑to‑day system health, and integration with other technology stacks.
• Lead standardization initiatives, audit and automation, standardize lists, and establish/document rules and processes for data quality, access, system functionality, and efficiency.
• Work with cross‑functional teams to define setup and integration requirements and implement scalable processes aligned with business objectives.
• Establish robust data governance and flow protocols, maintaining data integrity across integrated systems while supporting company goals and IT/Data Governance policies.
• Identify opportunities to enhance operational efficiency and optimize processes using Hub Spot technology.
• Collaborate with leadership, project management, and business units to drive Hub Spot integration and optimization projects to completion.
• Lead operational change management for successful implementation of Hub Spot modules and related initiatives.
• Oversee relationships with key vendors to ensure optimal service delivery and cost‑effectiveness.

• Set up and maintain Hub Spot hubs/modules for each business unit; manage user access, training, roles, permissions, and licenses throughout the user lifecycle.
• Serve as the main contact for CRM/Service Hub and Hub Spot system inquiries and troubleshooting.
• Ensure data quality, duplication, enrichment, and consistent CRM and data/system content hygiene across organization.
