Compensation: $23 to $27 per hour

This is a part time job working Mon – Thurs, 8am to 3:30pm

What you’ll be doing :
  • Leadership Support
    • Plan meetings, make travel arrangements, complete expense reports, and provide general administrative support
  • Office Management
    • Maintain office supplies, sort and distribute mail, and assist local staff with ongoing administrative needs
    • Maintain office breakroom and conference rooms
    • Maintain seating chart and welcome guides
    • Act as building liaison
    • Plan and organize local employee events (on site lunches, offsite dinners, and holiday parties)
    • Administer US corporate cell phone program
  • Accounts Payable
    • Manage overall payable and expenditure process by inputting approved expenses of the Corporation, and generate check runs on a periodic basis while sending file to bank authorizing checks to be cleared
    • Sort and distribute mail, deliver invoices received to applicable facility manager for approval and for general ledger expense coding
    • Contact vendors to request billing be sent directly to manager and/or related facility
    • Research any past due invoices as listed on vendor statements, and respond to all vendor inquiries
    • Mail checks to vendors with applicable vendor support as necessary
    • Record expense transactions relating to credit card transactions and obtain necessary details from facility managers
    • Prepare the Corporation’s credit applications and provide to CFO or Corporate Controller, whichever applicable, for review and signoff
    • Reconcile accounts payable accounts on a periodic basis, ensuring that month-end subledger reconcile without exception to the general ledger
    • Maintain organizational charts
  • Perform other duties as assigned and/or required.
Qualifications:
  • At least three years of related work experience
  • Full comprehension of office management systems and procedures
  • Excellent knowledge of MS Office (Word, Excel, Power Point and Outlook)
  • Exemplary planning and time management skills
  • Task oriented, organized with the ability to manage multiple tasks; flexible with a high degree of initiative and ability to balance fluctuating workload
  • Exceptional attention to detail
  • Ability to work well with all levels within the organization
  • High level verbal and written communication skills
Physical Demands and Requirements
  • This job is not physically strenuous. You must be able to sit at a desk and utilize computers
  • This job requires the ability to read and comprehend written and oral operational and safety instructions and related rules, policies, and memos, and to communicate clearly with your co-workers and supervisors
  • This job is indoors in a controlled atmosphere with infrequent visits to the warehouse
  • There will be minimal lifting of approximately 30 lbs
