Hours: 16 hours per week – Thursdays 08:00-16:30, Fridays 08:00-16:30.
Responsible for reception support in Women & Children’s Services, ensuring a safe and high quality public service.
Main duties- Welcome and receive patients, visitors and staff in a polite and professional manner and undertake general reception duties.
- Administer tasks, using initiative to assess and deal with non-clinical problems to support clinical staff.
- Prioritise work to ensure support for clinical staff is always available for efficient patient care.
- Maintain accurate records & enter data into electronic patient records, including admissions, discharges and clinical details.
- Ensure patient notes are accurately filed, up to date and meet Trust standards.
- Prepare notes for Consultant and Midwifery‑Led Clinics.
- Follow up appointments using appropriate systems.
- Trace notes and data protection confidentiality at all times.
- Communicate discharge information to GP Surgeries, Community Midwives and other multidisciplinary teams.

Job responsibilities- Prepare and distribute patient documentation ahead of scheduled clinics.
- Ensure access to patient lists and required resources at start of each clinic session.
- Liaise with sonographers, consultants and community midwifery teams for clinic planning.
- Monitor and order clinic supplies (leaflets, scan report paper, admin materials).
- Organise distribution of antenatal information packs and keep materials up to date.
- Contribute to security by monitoring visitors and reporting incidents.
- Use Trust Procurement Systems to order items and maintain stationery levels.
- Report faults to Medical Engineering/Estates Helpdesk and organise PAT testing/security marking of new equipment.
- Communicate sensitive information appropriately and maintain confidentiality.
- GCSE grade C or above in literacy and numeracy.
- IT skills certification.
- Reception and clerical experience.
- Customer service experience.
- Previous NHS experience in a similar role.
- Knowledge of NHS computer systems such as TRAK, P2P.
- Excellent written and verbal communication skills.
- Excellent customer service and social skills with ability to engage positively with service users.
- Ability to use judgment and initiative to work without direct supervision.
