Part‑time position. 19 hours or less per week.
This position provides an advanced level of administrative support to the Human Resources & Risk Management staff in the performance of the day‑to‑day and long‑range activities essential to the effective operation of the Department. General administrative and clerical support functions include research, composition of correspondence, documents, reports, surveys, and file maintenance.
SUPERVISORY RESPONSIBILITIESThis position does not supervise other employees.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Assists with worker’s compensation program including coordination and collection of documentation, analyzes and maintains records and forms, compiles information as required and prepares regulatory documentation. Assists in providing guidance to employees to ensure immediate medical care is provided. Provides necessary information and works closely with Arizona Counties Insurance Pool (ACIP) to ensure compliance. (25%)
- Gathers, compiles and maintains data necessary for Occupational Safety and Health Administration (OSHA) required forms and documents. Analyzes, compiles and composes data required by OSHA, Arizona Department of Occupational Safety and Health (ADOSH) and U.S. Department of Labor Bureau of Labor Statistics (BLS) record‑keeping and reporting regulations; submits required data annually. (25%)
- Researches and compiles data for special projects as assigned. Prepares, edits and distributes documents including reports, forms, spreadsheets, correspondence and emails on a wide variety of subjects. (20%)
- Act as receptionist in receiving and screening visitors/callers; taking messages and directing calls to appropriate personnel as needed. (10%)
- Assists with online employee training program; manages and maintains data; monitors employees’ training progress and prepares compliance reports. (10%)
- Assists in the annual collection of data required for liability and property insurance of County owned property and assets. (10%)
- Performs other duties as assigned. (10%)
This position has no responsibility over any types of budget.

ORAL COMMUNICATION DUTIESThis position explains County procedures or processes, responds to public inquiries and participates in meetings.
WRITTEN COMMUNICATION DUTIESThis position creates or edits documents, internal memos, emails, formal letters and reports.
INTERACTIONS WITH THE GENERAL PUBLICInteracts extensively with employees, customers, the general public, vendors, regulatory bodies, and other groups and/or individuals and institutions over the telephone, by email, and/or in person.
INTERACTIONS SPECIFICALLY WITH CUSTOMERSRegularly (more than 55% but less than 70% in a year)
MINIMUM EDUCATION REQUIREDHigh School Diploma or GED.
MINIMUM YEARS OF DIRECTLY RELATED EXPERIENCE REQUIREDFour (4) years administrative experience; or equivalent combination of education, training and experience.
PROFESSIONAL CREDENTIALS REQUIRED/PREFERREDMust possess and maintain a valid Driver’s License.
KNOWLEDGE REQUIREDClerical, customer and personal service, general office procedures and practices, filing systems and standard office software applications.
SKILLS REQUIREDActive listening, communicating diplomatically, customer service, time management, multi‑tasking, typing and data entry and attention to detail.
ABILITIES REQUIREDMake sense of multiple information, react in a calm and timely manner, maintain calm demeanor in stressful situations, focus, recognize problems, speak clearly and sensibly and follow orders.
PHYSICAL DEMANDS- Routinely stands to attend to customers.
- Regularly sits to complete reports, to operate computers and to attend to other duties.
- Occasionally lifts under 10 lbs.
- Incumbents in this position may be required to walk to and from work sites on rare occasions.
Incumbents in this position constantly work in an office environment.
SAFETY RISK EXPOSUREIncumbents in this position are generally not exposed to safety risk. On rare occasions, may become exposed to occasional telephone verbal abuse by customers or citizens.
PROTECTIVE GEAR & SAFETY MANUALSIncumbents in this position are required to constantly follow written safety procedures and manuals relevant to the division or department.
