This position is responsible for performing daily administrative and clinical duties to facilitate efficient operations in an outpatient clinic setting. It provides support in delivering safe, quality care and customer service to patients, physicians/providers, and other members of the clinical care teams.

Responsibilities
  • Escort patients to exam rooms on a timely basis and keep team members informed of any delays.
  • Prepare patients for appropriate examination, including triaging and, as necessary, for radiologic studies, cast removal, etc.
  • Assist physicians as needed in the patient examination process.
  • Evaluate the need for wound care, if any, and ensure adequate provision of care and patient education.
  • Provide for splint/cast applications and removals when applicable.
  • Process prescriptions per physician order and instruct patients regarding medication side effects.
  • Prepare injectable medications and equipment needed.
  • Coordinate referrals for ongoing services/needs (e.g., therapy services, home health, surgical procedures, DME, etc.).
  • Act as a patient intermediary/liaison for resolution of patient problems.
  • Fulfill environmental responsibilities such as setting up instruments and equipment, cleaning exam/procedure rooms, instruments, equipment, and maintaining infection control as regulated by OSHA; cleaning the sterilizer according to scheduled maintenance and keeping appropriate records; ordering, sorting, storing supplies; and restocking exam/procedure rooms.
  • Manage patient flow by checking schedules, accompanying patients to exam/procedure rooms, assisting with walking, transfers, dressing, collecting specimens, preparing for exam, collecting patient history, performing screenings per provider guidelines, assisting physicians/nurses/doctor's assistants with procedures, charting, relaying instructions to patients/families, and answering calls.
Physician Liaison Activities
  • Respond to incoming phone calls and determine the best method for resolution of caller’s needs through appropriate identification of the most suitable respondent.
  • Channel requests appropriately to ensure resolution.
  • Secure charts related to diagnostic tests, physical/occupational therapy reports, etc., discuss issues with physicians, and relate physician information back to patient/requestor. Complete chart notes as appropriate and assist in securing missing diagnostic codes/information on charge tickets.
Appointment Scheduling
  • Assist in scheduling appointments for new and established patients.
  • Discuss with physicians special needs patient appointments, provide medical charts for review when required, and secure appointment approvals for visits outside of routine scheduling templates.
Correspondence (Written/Faxed/Verbal)
  • Send prescriptions for therapy, orthotics, return-to-work notes, gym notes, etc. as requested.
  • Provide workers’ compensation carriers with updated status on patients.
  • Complete “Attending physician” statements, narrative summaries for attorneys, handicap parking permits, jury duty requests, disability forms, PE excuse notes, etc.
  • Fulfill clerical responsibilities such as sending/receiving patient medical records, obtaining lab/x‑ray reports, hospital notes, referral information, scheduling appointments, tests, and surgeries, verifying insurance coverage and patient demographics, and managing charts to ensure information is completed and filed appropriately.
Support Activities
  • Prepare clinical charts prior to patient appointments, ensuring that necessary data such as x‑rays, MRI/dexa scan results, and reports from outside sources is secured.
  • Notify management when clinic supplies are low.
  • Ensure that exam rooms, cast rooms, etc., are clean, orderly, and fully stocked at the end of clinics.
Operational
  • Participate in learning new systems as required for the service area.
  • Act as an informational contact for patients and families, notifying them of delays, directing them or seeking information on their behalf, responding to inquiries or complaints, maintaining a professional image through attire and presentation, attending mandatory in‑service programs for current insurance/registration issues, and fulfilling…
