Overview
Our client is looking to fill the role of Sponsorship Fulfillment Manager, Special Events. The Sponsorship Fulfillment Manager plays a key role in supporting the Sponsorship Sales Team in providing account management, operational support, and white glove service to sponsors and licensees supporting Fan Event. This role serves as a critical liaison between company, sponsor/licensee teams, show management, and event logistics — ensuring clear communication, accurate documentation, and on-time execution of all operational milestones.
The ideal candidate is detail-oriented, thrives in a fast-paced environment, and has strong trade show and sponsorship experience.
Pay Rate: $52-60 per hour Salary DOE
Responsibilities- Account & Sponsor Management
- Manage up to 25 sponsor accounts.
- Serve as the main execution and operational point of contact for assigned sponsors.
- Conduct weekly update calls with Sponsorship Sales and Fulfillment Leads.
- Set up onboarding calls with each sponsor to review timelines and deliverables.
- Populate and manage the Sponsor Portal with Coordinator support.
- Create sponsor newsletters, “Know Before You Go” documents, and key date information sheets.
- Event & Logistics Coordination
- Manage all sponsor logistics, including:
- Experience plans (high-level and detailed)
- COIs submission and legal review
- Electrical and internet diagram collection and routing
- Booth reviews and feedback
- Credentials and registration information
- Lead retrieval strategy coordination
- In-booth talent, activations, signings, security, and crowd control logistics
- Coordinate Freeman webinars and Exhibitor Services reviews.
- Handle sponsor media bag gifts and signage copy.
- Source and advise on sponsor-funded production items.
- Act as liaison to event producers for all physical activations.
- Serve as key contact during load-in, event days, and load-out.
- Support EAC wrist-banding and activation fulfillment.
- Provide input for post-event feedback reporting.
- 5–7+ years experience in sponsorship, events, or trade show environments.
- Experience managing multiple complex stakeholders.
- Strong organizational, documentation, and communication skills.
- Ability to work cross-functionally in a fast-paced, high-pressure environment.
- Understanding of trade show workflows.
- Ability to professionally represent company to sponsors and partners.
- Familiarity with brand standards and culture.
- Prior experience working with sponsors or licensees.
- BA/BS degree or equivalent experience.
- Onsite attendance required for meetings and during event periods.
- This role directly supports the Sponsorship Fulfillment Lead and Sponsorship Sales Team.
