DescriptionGeneral Summary / Responsibilities:
- Monitors, coordinates surgical scheduling tasks for assigned providers.
- Manages Authorization or obtains authorizations for procedures, diagnostic testing, medication authorizations, pre-operative testing, or surgeries as required by the patient’s health care insurers or managed care providers.
- Schedules internal and external appointments, procedures, and surgeries.
- Reviews surgical procedures with patients, providing education and review of necessary documents and secures patients’ signatures on required documents.
- Confirms patient surgical and diagnostic appointments with appropriate facilities and ensures timely delivery of appropriate documents.
- Schedules or coordinates pre-admission testing, surgical clearance appointments with the patient’s Primary Care Physician office, Cardiology or other specialty practices.
- Timely review of pre-operative testing results and forwards abnormal test reports to the surgeon, physician assistant and clinical coordinator. Communicates the same with the patient’s Primary Care Physician regarding medical clearances.
- Reviews chart for completeness and accuracy by ensuring all pertinent studies/diagnostics are available prior to pre-operative testing and surgeries.
- Immediately greets and directs patients and visitors, answers telephone calls promptly and courteously.
- Utilizes Electronic Medical Record to document all patient communications.
- Assist with any other assigned duties or tasks.
- Maintains confidentiality of all patient information and complies with HIPAA regulations.
- Promotes and supports the mission and values of PVHO/AUUA through all verbal and nonverbal actions. Perform other related duties as assigned.
- Performance Requirements:
Knowledge:- Medical practice protocols for scheduling and patient demographics
- EMR systems
- Medical terminology
- Insurance practices, CPT, and ICD-10 coding
- Grammar, spelling, and punctuation for documentation
- Customer service principles and techniques
- Skills / Abilities:
- Self-starter with minimal supervision
- Effective communication with patients and providers
- Multitasking in a fast-paced environment
- Analytical and responsive decision-making
- Use of multi-line phone systems
- Clear and concise verbal communication
- Strong organizational and time management skills
- Excellent interpersonal and problem-solving skills
- Professional and positive demeanor
- Basic computer skills
- Teamwork and flexibility
- Confidence in presenting pricing and financing
- Urology experience (preferred)
- Surgical scheduling experience (required)
- Bilingual in Spanish (preferred)
- Experience:
- 1 year of surgical scheduling (Required)
- 2–3 years of medical office experience (Required)
- Experience in a fast-paced, high-volume office (Preferred)
- Education:
- High school diploma or GED (Required)
