Responsibilities
  • Provide administrative support to the Program Director, faculty, and staff of the PA Program. Report to the Program Director.
  • Coordinate and schedule meetings for the Program Director; assist with administration of student, faculty, and staff surveys using Qualtrics and other activities in support of the Program.
  • Assist in creation and maintenance of the ongoing Admin Canvas course for both cohorts.
  • Coordinate professional development sessions, email lecturers, and maintain calendars.
  • Distribute quarterly course and instructor evaluations to faculty and Chair(s) of the Education Committee; track didactic course and instructor evaluations for accreditation purposes.
  • Input admissions data annually to the program master spreadsheet; input grades and update student GPAs after each quarter and clinical rotation.
  • Act as administrator for Aquifer for both didactic and clinical year; prepare MWU expense reports in Concur; prepare and submit check requests and purchase requisitions.
  • Process adjunct faculty contracts and letters of agreement; arrange for security clearance; process payroll timesheets for adjunct faculty.
  • Coordinate ACLS/BLS coordination with the simulation center and students; complete program verification forms as able.
  • Take meeting minutes for department meetings, Education Committee meetings, and Program Retreats; distribute for review and approval.
  • Greet and assist visitors; manage general inquiries via email and telephone; provide administrative support for faculty (room reservations, exam support, and related tasks).
  • Support graduating classes and alumni (tracking graduation dates, ordering Certificates of Completion, liaising with the Registrar, coordinating composites and studio appointments).
  • Coordinate banquets and track invitations/RSVPs; track requests for graduates  credentials and licensing; complete alumni credentialing/licensing forms.
  • Annually upload class roster to NCCPA; manage quarterly program block schedule and keep PA Program calendar updated; assist with conversion to Exxat (uploading and maintaining documents).
  • Provide cross-coverage for clinical year items and other duties as needed.
Qualifications
  • High School or GED required; 5–7 years of relevant work experience, preferably in an academic environment supporting faculty, students, and staff.
  • Bachelor’s degree preferred; excellent written and verbal communication skills.
  • Professional in interactions with internal and external contacts; highly organized and meticulous; ability to manage multiple priorities and deadlines; ability to maintain confidentiality of student, faculty, and clinical preceptor information.
  • Strong computer skills in Microsoft Office (Word, Excel, Outlook, PowerPoint); experience with Canvas desired.
  • Ability to work in a constant state of alertness and safety; regular, predictable in-person attendance.
Other Qualifications

The individual must be professional in interactions with internal and external contacts and highly organized and meticulous; possess good oral and written communication skills and the ability to work under pressure.
