Job Purpose

Support the smooth and secure delivery of examinations by supervising students in a variety of exam settings. You will ensure that exams are administered efficiently and conducted in line with university regulations, maintaining academic integrity and creating a calm, supportive environment for students.

In addition to carrying out standard invigilation duties, you will co-ordinate invigilation teams in larger or more complex exam settings. You will act as a point of contact for colleagues seeking support or clarification on more complex issues and ensure procedures are applied consistently.

Main Duties And Responsibilities
  • Oversee the preparation of examination venues and ensure correct layout, seating plans, signage, and equipment are in place.
  • Brief invigilation teams on any exam or venue-specific instructions, prior to each exam.
  • Co-ordinate a team of invigilators, assigning roles and ensuring duties are completed effectively.
  • Carry out all standard invigilator duties, including candidate supervision, distributing and collecting materials
  • Act as the main point of contact for Registry during the exam.
  • Monitor conduct throughout exams, ensuring consistency and compliance with exam regulations
  • Manage incidents and student issues calmly and appropriately during exams, escalating to Registry where necessary.
  • Ensure accurate completion of paperwork, including attendance, incident reports, and reconciliation of exam scripts.
  • Ensure proper timekeeping. and communicate key timings to both candidates and invigilators.
  • Maintain a professional and confidential approach and provide feedback to contribute to improvements in exam processes.
Knowledge/Qualifications

Essential:

  • A1 Either:
    Ability to demonstrate the competencies required to undertake the duties associated with this level of post gained through working in a similar role. Or:
    Scottish Credit and Qualification Framework level 4 in English and Mathematics (National
    4) or equivalent, and some experience of working in a similar role.

Desirable:

  • B1 An understanding of the issues involved in exam invigilation
  • B2 Awareness of disability issues and people who require additional support.
Skills
  • C1 Reliable and punctual with a flexible approach to working hours.
  • C2 Effective IT skills for record-keeping or online exam support.
  • C3 Good verbal communication skills with the confidence to deliver clear instructions to large groups of students and to brief and guide invigilation teams.
  • C4 Good people skills, able to work collaboratively with colleagues and to provide calm, support to students. Friendly, helpful, and approachable with the ability to lead by example.
  • C5 Strong organisational skills with the ability to coordinate multiple tasks, delegate responsibilities, and manage time effectively in complex exam environments.
  • C6 Strong attention to detail, with the ability to apply rules consistently, oversee procedures, and keep accurate records.
  • C7 Ability to remain calm, decisive, and professional under pressure, handling unexpected issues effectively and escalating when necessary.
Experience
  • E1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
  • E2 Experience of working independently and as part of a team.
  • E3 Experience of co-ordinating groups of people.
Desirable Experience
  • F1 Experience of working in an educational environment or invigilation.
  • F2 Administrative or clerical experience to complete exam paperwork.
Terms and Conditions

Salary will be Grade 3, £24,685 - £25,249 per annum pro rata.

This post is part-time and open ended (permanent). You are guaranteed a minimum of 100 hours per year. Shifts will be for a minimum of 1 hour but the average shift will be between 2-7 hours.
