Overview
The RSK Group are recruiting a part time Office Manager to join the team to ensure the smooth, safe, and efficient running of their Glasgow office. This is a permanent part time role, 20 hours per week, 4 hours per day Monday to Friday.
This role supports the team by managing facilities, systems, and administrative processes, with a strong emphasis on practical experience, initiative, and people skills.
Responsibilities- Office & Facilities Management – Oversee day-to-day office operations, including supplies, maintenance, liaison with landlords’ agents and vendor coordination
- Manage access, phones, post, meeting room scheduling and fleet vehicle bookings
- Manage online data sources and files held for the business, providing file management and access privileges to users
- Support the office director in safety officer to ensure compliance with health & safety standards (SHEQ), preparing for and attending external audits (typically once per year), maintaining records such as COSHH and waste transfer records, and communicating key SHEQ-related messages to office attendees
- People & Process Support – Liaise with wider RSK teams such as IT, legal, accounts, and RSK businesses to maintain and improve the quality of the premises for the safety and wellbeing of staff and visitors
- Support onboarding and offboarding of staff and consultants
- Lead, line manage and support a small team comprising an office administrator and yard person/janitor
- Systems & Compliance – Maintain key fob entry system for staff entry to the premises
- Oversee appointed suppliers to maintain fire safety and security systems
- Tactical & Administrative Support – Coordinate logistics for office and staff events
- Support internal scheduling and coordination
- Handle ad hoc administrative tasks to support the wider team
- Strong organisational and multi-tasking skills
- Accurate typing, numeracy and data entry
- Experience of using O365 including Microsoft Word and Excel
- Good verbal and written communication skills
- Comfortable working independently and taking initiative as well as the ability to work as part of a team
- Attention to detail
- Experience in managing premises and/or teams in a previous role
- £15,000 - £18,750, 20 hours per week over 5 days (£30,000 - £37,500 FTE) depending on experience
