We are seeking a detail-oriented and organized Junior Administrative Coordinator to support our Real Estate and Property Management team. This role is ideal for someone looking to build experience in commercial real estate, lease administration, and property operations while providing critical administrative, financial, and reporting support across a multi-location portfolio. The successful candidate will help keep landlord communications, lease documents, and real estate data accurate and organized, while learning how real estate contracts and financial obligations drive business decisions.

How You Will Make an Impact:

Lease & Document Support

  • Assist with organizing and maintaining leases, amendments, and related real estate documents.
  • Help review leases and contracts to identify key dates, financial terms, and landlord responsibilities.
  • Track lease expirations, notice dates, rent changes, and restoration requirements.

Landlord & Vendor Coordination

  • Assist with day-to-day communication with landlords, property managers, and vendors.
  • Help coordinate access for inspections, repairs, and maintenance.
  • Track landlord requests and follow-ups.

Real Estate Payables & Data Entry

  • Enter and track invoices for rent, CAM, utilities, and vendor services.
  • Assist with matching invoices to lease terms and approved scopes of work.
  • Maintain payment status logs and basic reconciliations.

Reporting & Tracking

  • Maintain spreadsheets and internal reports for lease data, costs, and service activity.
  • Identify basic trends such as recurring repairs, increasing costs, or missing invoices.
  • Provide summaries to the Real Estate team to support budgeting and vendor and landlord discussions.

Facilities & Property Support

  • Help coordinate maintenance, repairs, and inspections as directed by Facilities or Utility Team.
  • Maintain site histories for repairs, warranties, and issues.

Administrative Support

  • Schedule meetings, take notes, manage files, and assist with correspondence.
  • Keep internal systems accurate and organized.

What You Bring to the Role:

Experience:

  • 2+ years of experience in real estate, property management, or facilities management.
  • Knowledge of legal contracts, lease agreements, and property management principles.
  • Low-level AP or accounting experience preferred.

Licensing (Preferred, Not Required):

  • Real Estate, Property Manager or Paralegal licensing is preferred, but not required.

Skills:

  • Strong organizational and data-entry skills.
  • Ability to read and understand basic contract and lease terms.
  • Proficiency with Microsoft Office and document management systems.
  • Clear written and verbal communication.
  • High attention to detail and willingness to learn.
