Overview
Under the direction of the surgeon, the medical assistant surgery scheduler performs surgery scheduling and various routine clerical tasks. The surgery scheduler oversees insurance inquiries; performs pre-authorization reviews and explains deductible and payments if necessary; and schedules surgery time with hospital. Works closely with clinic lead and other members of the office to trouble-shoot and resolve problems, maintains positive relationships with patients, family members and other visitors, and fellow employees.

Works closely with clinic lead and other members of the office to trouble-shoot and resolve problems, maintains positive relationships with patients, family members and other visitors, and fellow employees.
DutiesAnd Responsibilities
- Record patients' medical history, vital statistics, or information such as test results in medical records.
- Interview patients to obtain medical information and measure their vital signs, weight, and height.
- Accompanying patients to the appropriate exam room; assisting patients as needed with walking, transfers, dressing, and preparing them for the physician.
- Assisting and Caring for Others — providing personal assistance, medical attention, emotional support, or other personal care to others such as coworkers, customers, or patients.
- Documenting/Recording Information — entering, recording, storing, or maintaining information in written or electronic form.
- Getting Information — observing, receiving, and otherwise obtaining information from all relevant sources.
- Communicating with Supervisors, Peers, Patients, and Physicians — providing accurate messages/instructions by telephone, in written form, e-mail, or in person.
- Interacting with Computers — Using computers and electronic medical records to enter data, or process information.
- Cleaning according to scheduled maintenance program and keeping appropriate records; managing inventory of supplies; assisting with the ordering of patient care supplies, restocking treatment rooms, exam rooms, and procedure room.
- Monitor and track prescription sent as eRX and refill requests.
- Prepare treatment rooms for patient examinations, set up instruments and equipment according to department protocol.
- Fill out lab requisition for pathology and call for pick up at lab where patients insurance is accepted.
- Perform patient blood draw.
- Send orders for labs, imaging, referrals or Meds to appropriate facilities when ordered by provider.
- When providers order STAT requests: calling and scheduling for the patient before they leave our office. Calling insurance to request prior authorization as necessary.
- Monitor biohazard and sharps daily according to OSHA.
- Restock, manage and check expiration dates for all supplies in rooms and storage rooms.
- Answer clinical phone calls.
- Checks phone messages hourly and return all calls before lunch, mid afternoon, and prior to leaving for the day.
- Ensure that post-operative/post procedure appointments are prepared with patient pathology/lab reports.
- Accurately relay messages/instructions to patients/families
- Complete forms/requisitions as needed; scheduling appointments; verifying insurance coverage and patient demographics, managing charts to ensure information is complete and filed appropriately.
- Surgery scheduler sees all patients prior to patient checkout.
- Coordinates arrangements for surgical assistants, special equipment and surgical materials. Organizes schedules and ensures that there are no physician or equipment conflicts.
- Promptly and efficiently responds to patient and physician inquiries, scheduling requests, and updating information.
- Provides necessary information related to the surgery to the surgeon, OR/Hospital and patient.
