Overview

Ortho Arizona Surgery Center Gilbert is hiring a Full Time Business Office Float. USPI Ortho Arizona Surgery Center Gilbert is a single-specialty outpatient surgery practice that specializes in orthopedic surgery. Our surgery center is a joint venture between local physicians and USPI, the nation's largest provider of surgical services.

Job Summary

Under the direction of the Business Office Manager, the Business Office Float is responsible for daily maintenance of the surgery schedule and insurance verification. The candidate should have outstanding leadership, communication and customer service skills, and the ability to navigate a fast-paced environment. The successful candidate should be able to demonstrate previous successful/positive customer service encounters or programs.

Duties and Responsibilities
  • Verifies insurance prior to patient’s arrival, including Add-Ons and Direct Admits
  • Obtains pre-certification from insurance companies for procedures that require it
  • Requests office notes from referring physician if needed for Authorization
  • Calculates and informs patients of amounts due
  • Communicates with the Dr. office’s staff
  • Ensures all required forms are placed in designated areas of the patient’s chart
  • Daily preparation of charts for next day’s surgeries within required deadline (no less than 3 days prior to surgery, for cases scheduled four days or more in advance)
  • Preparation of medical consents for each chart prepared
  • Labeling necessary documents and adding physician orders
  • Outbound collection calls to patients regarding their medical invoice/bill, answering questions and setting up payment plans
  • Utilization of collection strategies to contact consumers and negotiate payment in full or payment arrangements within applicable laws
  • Responsible for patient calls for pre-collections of patient responsibility
  • HIPAA compliance with medical records maintenance and auditing processes
  • Other duties as assigned
Qualifications
  • High School Diploma or equivalency
  • Minimum 2-4 years of hospital or medical office experience
  • Professional verbal and non-verbal communication
  • Ability to manage time effectively in a high-paced environment
  • Desire to contribute to the hospital/center improvement
  • Ability to multi-task
  • Strong medical terminology
  • Excellent phone etiquette and customer service skills
Duties and Responsibilities (continued)
  • Sets priorities and organizes work
  • Coordinates with anesthesia groups to confirm scheduling for coverage
  • Uses procedure codes accurately to ensure proper billing
  • Verifies information entered into the system (e.g., name, DOB, gender, insurance)
  • Ensures necessary paperwork for any patient add-on is received by the appropriate staff
  • Communicates schedule changes to appropriate staff
  • Ensures all required fields in Advantx are completed
  • Works with OR director to avoid equipment or supply conflicts
  • Alerts administration when new doctors or procedures are scheduled
  • Cross trains with other areas
  • Other duties as assigned
  • Completes consents and ensures accuracy before submitting to the chart builder
  • Promotes positive relationships with scheduling coordinators, physicians and nursing staff throughout the scheduling process
  • Validates and enters patient information and insurance coverage into the system
  • Verifies insurance benefits by reviewing contracts and patient’s benefits
  • Determines co-pay
  • Posts all insurance and billing comments
  • Enters all information into the patient accounting system
  • Contacts patients regarding money due prior to the date of surgery
  • Interacts with physician offices, insurance carriers, and patient follow-ups
