A detail-oriented and service-minded Client Services Coordinator is sought to support internal financial advisory operations. This role involves preparing, processing, and tracking client paperwork while serving as a key point of contact for administrative client needs. The Coordinator will collaborate closely with advisors and internal teams to ensure that requests are completed accurately and efficiently, adhering to the company's high standards.
This full-time, in-office position operates Monday through Friday and is ideal for individuals who value structure and ownership within a professional team environment.
Client Services Coordinator Responsibilities:
- Prepare, process, and submit client paperwork, including account openings, transfers, maintenance forms, annuity documentation, and custodial forms
- Manage and follow up on client service requests with accuracy and timeliness
- Serve as a primary point of contact for client administrative needs via phone, email, and in person
- Coordinate with advisors and internal teams to ensure client requests are completed efficiently and correctly
- Maintain accurate and up-to-date client records within CRM, portfolio management, and planning systems
- Monitor paperwork status and proactively resolve missing information or processing issues
- Assist with annuity servicing, including applications, updates, and ongoing maintenance
- Support compliance-related documentation and internal procedures
- Provide general administrative and operational support to the financial advisory team
- Minimum of 3+ years with a broker-dealer or an RIA
- Experience with annuity paperwork and FMO or IMO experience
- Experience with Asset Mark and/or Charles Schwab is preferred
- Polished communication skills for interactions with high-net-worth and ultra-high-net-worth clients
- Extremely organized and self-sufficient
- Capable of managing up
- Proficiency with Wealthbox CRM, Asset Mark, and eMoney is preferred
- Background in client service or administrative roles within financial services, supporting an RIA or wealth management firm
- BA is preferred
