Job Description Summary A Financial Counselor serves as the liaison between the patient and the practice by coordinating payments, monitoring patient balances, and streamlining communication of the financial responsibilities of our patients. The Financial Counselor performs the quality control function for pre-certification and prior authorization, ensures the patients’ insurance benefits are kept up to date in the electronic medical records (EMR) and billing software, and verifies the patient’s services meet insurance coverage appropriateness.

Primary Job Duties & Responsibilities

  • Monitors and coordinates with the insurance company on pre-certification and prior authorization processes, including peer-to-peer and appeals.
  • Reviews assigned patient schedules for upcoming visits and establishes patient financial responsibility.
  • Reviews patient treatment plans and identifies insurance benefit coverage and patient fiscal responsibility; communicates immediate exceptions to the provider.
  • Obtains necessary patient information for assistance income guidelines.
  • Identifies and reviews patient aging balances and establishes arrangements to address outstanding balances.
  • Discusses and explains required forms and paperwork (waivers, treatment estimates, payment plans, assistance applications).
  • Communicates openly throughout the workday with providers, staff, UM team, and coworkers via Teams, phone, email, and in person.
  • Works closely with outside entities to complete forms and items in a timely manner.
  • Assists patients with completing necessary paperwork for assistance and grant-funded programs.
  • Has an understanding of patient assistance programs and grant services processes to coordinate with the financial aid counseling team.
  • Understands and complies with all Federal and State laws and regulations pertaining to patient care, rights, safety, billing, and collections.
  • Will be expected to work overtime when required and with sufficient notice.
  • Keeps work area and records neat and orderly; maintains company equipment in a safe and working order.
  • Adheres to all AON and departmental policies and procedures, including Revenue Cycle policies and procedures.
  • Performs other duties and projects as assigned.

Job Qualifications And Requirements

Education High school Diploma or GED required; further education or degree a plus.

Certifications / Licenses None specified.

Experience (minimum years)

  • A minimum of two years prior experience in the healthcare field, preferably in a clinical or business office setting.
  • Prior healthcare customer service.
  • Prior medical terminology.
  • Prior medical insurance verification.
  • Prior verifying pre-certification and/or prior authorization with medical insurance.
  • Excellent verbal and communication skills.
  • Proven insurance knowledge, including medical terminology, ICD‑9, ICD‑10, and CPT codes.
  • Prior cash handling and monetary collection experience.
  • Ability to calculate and collect patients’ responsibility and insurance co‑pay/coinsurance.

Standard Core Workdays / Hours Monday to Friday 8:00 AM – 5:00 PM; occasional overtime may be required, and weekend shifts based on location hours and operational needs.
