About the Job
Based at Mandarin Oriental, Geneva, within the Finance Department, the Payroll Administrator is responsible for preparing, maintaining and auditing all payroll records, preparing pay cheques for employees and managing all payroll‑related information. The Payroll Administrator reports directly to the Director of Finance.
Responsibilities- Support the Finance Director and Assistant Finance Director in the management, preparation, and analysis of payroll for the entire hotel.
- Collect, input, and verify payroll variables (worked hours, absences, bonuses, overtime, etc.).
- Prepare and review monthly payroll slips.
- Ensure compliance with Swiss labour law, collective labour agreements, and internal policies.
- Manage social security and tax deductions (AVS/AI/APG, unemployment insurance, pension fund, withholding tax, etc.).
- Monitor and submit social contributions and periodic declarations to authorities.
- Manage employee administrative follow‑up (onboarding, offboarding, salary certificates).
- Prepare annual salary certificates.
- Produce payroll reports for management and accounting purposes.
- Ensure internal controls to guarantee accuracy and compliance of payroll data.
- Act as a point of contact for employees regarding payroll‑related questions.
- Liaise with social security funds, insurance companies and pension institutions.
- Monitor legal and regulatory changes related to payroll and social security.
- Contribute to continuous improvement of HR and payroll processes in collaboration with HR.
- Proven experience in payroll within a luxury hospitality environment.
- Strong analytical and numerical skills with attention to detail.
- Proficiency in cost control systems and Microsoft Excel; knowledge of Mirus tool is an advantage.
- Excellent communication and collaboration skills across departments.
- Fluency in English and French; additional European language is a plus.
