The Staff Council Coordinator serves as the primary resource person for the effective functioning of the Staff Council. The Staff Council Coordinator provides cross-cutting administrative and communications support to the Staff Council, ensuring effective coordination between staff representatives, management, and other organizational bodies. The role supports the Staff Council’s work in representing staff interests, contributing to positive staff-management relations, and promoting transparency and staff engagement across the organization.
The Coordinator is critical to ensure necessary coordination of the Staff Council’s work streams and management of its projects.
They are responsible for providing administrative support to the Chair and Vice-Chair of the Staff Council who take the lead on delivering services against annual priorities as identified by staff at the beginning of each year.
They are thereby an important conduit for coordination and communication within the Staff Council to ensure relevant follow-up on all issues the Staff Council is working on, externally with partners of the Staff Council and generally with staff of the Global Fund.
The incumbent is expected to maintain high standards of professionalism, efficiency, personal communication, discretion and independent judgment. The Staff Council Coordinator also manages the knowledge base and other documentation in full confidence. In working closely with internal and external contacts, the incumbent deals with a wide range of sensitive issues under tight deadlines/pressures. A team player, they will also be expected to work independently, manage projects and multiple work streams and facilitate necessary communication with a wide range of stakeholders without close supervision.
Key Responsibilities Administrative support & Coordination- Oversee planning, execution, and delivery of all Staff Council initiatives, ensuring alignment with annual priorities.
- Coordinate multiple work streams, working groups, and project teams, ensuring clear ownership and timely outcomes.
- Support the development and implementation of innovative staff engagement programs, workshops, and events led by SC.
- Manage the intake of cases of employment disputes and grievances from individual staff members and provide the first level of analysis and screening of cases for the attention of the Staff Council and its legal expert(s).
- As a key interface between the Staff Council and staff, organize and manage all‑staff events, including logistical arrangements (contracts, venues, payment authorizations, scheduling), as well as relationship management with focal points, speakers, invitees; and facilitate any staff initiatives that require administrative or organizational support.
- Manage all administrative and project matters ensuring the Staff Council functioning.
- Provide support and preparation for the onboarding to new Staff Council members and ensure smooth leadership transitions.
- Manage the Staff Council’s annual budget
, ensuring financial accountability and strategic resource allocation as planned. - Oversee financial processes, including dues collection, invoicing, purchase orders, and forecasting.
- Produce comprehensive quarterly and annual reports on Staff Council activities, priorities, and impact for the Global Fund’s leadership and other stakeholders.
- Manages all internal and external communications.
- Coordinate the production of newsletters, presentations, and other communications material as needed. Serve as the first‑line source of responses to generic queries from staff; and ensure that timely feedback is provided by the Staff Council to staff and Management and that timely input is given regarding human resources policies and guidelines.
