As a private jet broker, our role is to act as an independent intermediary between clients and aircraft operators, sourcing the most suitable aircraft worldwide to match each client’s specific needs. In addition to on-demand private jet charters, we are also active in the group charter market, arranging flights for corporate groups, sports teams, and large events. Through our dedicated aircraft sales & acquisitions division, we also advise clients in the purchase and sale of private jets.

The RoleAs Executive Assistant, you will provide administrative and organizational support to our leadership team, ensuring the smooth running of daily operations and enabling executives to focus on strategic priorities.
This position is primarily focused on executive support (80%), with office management responsibilities (20%) to maintain a professional, efficient and welcoming work environment at our Geneva headquarters. This is a versatile role for someone highly organized, proactive, and comfortable balancing multiple priorities in a fast-paced, international setting.
Key Responsibilities- Manage complex calendars, scheduling, and travel arrangements for senior executives.
- Prepare agendas, presentations, and meeting notes.
- Act as the first point of contact between executives and internal/external stakeholders.
- Draft, review, and manage correspondence with discretion and professionalism.
- Anticipate needs and proactively resolve issues to optimize processes.
- Coordinate board meetings, leadership meetings, and offsite events.
- Ensure timely preparation and distribution of documents, reports, and action points.
- Track deliverables and ensure effective follow-up on commitments.
- Handle expense reports, invoices, and approvals on behalf of executives.
- Maintain confidential records, contracts, and files.
- Support HR and Finance with administrative processes as needed.
- Oversee daily operations of the Geneva office (supplies, facilities and service providers).
- Serve as the local point of contact for vendors, landlords, and internal services.
- Organize office events, team activities, and support onboarding of new employees.
- Ensure a smooth and efficient workplace environment.
- Assist executives with ad hoc projects requiring research, coordination, and cross-team collaboration.
- Support internal communication initiatives and contribute to process improvements.
- Minimum 2 years’ experience as an Executive Assistant, Office Manager, or in a similar administrative role.
- Exceptional organizational and multitasking skills.
- High level of discretion, reliability and professionalism..
- Excellent communication skills in English and French.
- Proficient with Microsoft Office Suite, calendar tools, and collaboration platforms.
