We are seeking a FERMILAB Administrative Support Specialist (FRA3) located in CONUS – Batavia, IL (Remote) to provide Energy, Resources, & Industrials sector‑related Program/Project Management Solutions for the Proton Improvement Plan II Project (PIP‑II) Construction Administration (CA) Support Services on behalf of The Fermi Research Alliance, LLC (FRA). The role is part of Pro Sidian’s Energy, Infrastructure, & Environment Sector Group.

General program support, administration, and project assistance for PIP‑II Construction Administration services.
Responsibilities- Managing correspondence: answering phones, responding to emails, and drafting letters and memos.
- Scheduling and coordinating appointments, meetings, and events.
- Maintaining documents, both electronically and physically, including editing and organizing files.
- Entering and maintaining data in databases and spreadsheets; generating reports as needed.
- Providing customer service to clients, vendors, and other stakeholders.
- Handling general office tasks such as ordering supplies, managing mail, and overseeing office maintenance.
- Supporting project activities: tracking progress, generating reports, and assisting with research.
- B.S. (or equivalent) in a science‑related field such as mechanical engineering or mechanical engineering technologies.
- Successful completion of a Bachelor of Science (B.S.) or Master of Science (M.S.) in Engineering or a related accredited field.
- College‑level education, training, or technical experience providing a thorough knowledge of engineering sciences and practical techniques.
- Professional Engineer (P.E.) licensure is desirable but not required.
- Project Management Professional (PMP) certification is desirable but not required.
- Experience reviewing and analyzing transportation project plans for compliance with legal requirements, environmental impacts, and federal funding standards.
- Experience researching and applying federal transportation funding/aid laws, regulations, and policies.
- Experience advising on grant award selections, resolving federal grant implementation issues, or administering grant programs.
- Ability to multi‑task and pay close attention to detail.
- Excellent analytical, organizational, and time‑management skills.
- Strong oral and written communication skills.
- U.S. citizenship required.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Publisher) and Adobe Acrobat.
- Eligibility for a Facility Access Authorization by the U.S. Government’s Security Office.
- Advanced proficiency with Excel, Access, Outlook, PowerPoint, Word, Adobe Acrobat, data analytics tools, and Visio.
- Commitment to working with diverse stakeholders to solve complex challenges.
- Curiosity, humility, and a willingness to learn and grow.
