Job SummaryPerforms complex administrative support work. The role involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under general supervision with moderate latitude for the use of initiative and independent judgment.
Essential Functions- Prepares, edits, and distributes correspondence, reports, forms, and other documents; verifies accurate sorting and logging of inmate special, legal, and media mail.
- Issues postage and writing materials to indigent inmates; reviews and processes denials and handling of contraband; and responds to inmate inquiries regarding rules, regulations, policies, and procedures.
- Coordinates work with other departments, units, and staff; performs data entry, retrieval, and data searches; assists in preparing reports; and maintains files and records for unit mail room operations.
- Provides technical assistance to staff; reviews and assigns work to clerical staff; performs a variety of marginal duties not listed, to be determined and assigned as needed.
- Graduation from an accredited senior high school or equivalent or GED.
- Two years of full-time, wage-earning customer service, clerical, administrative support, technical program support, mail room, or correctional unit operations experience. Fifteen semester hours from an accredited college or university may substitute for each six months of experience.
- Knowledge of office practices and procedures.
- Knowledge of mail room operations and agency rules, regulations, policies, and procedures regarding inmate mail.
- Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations.
- Skill to communicate ideas and instructions clearly and concisely.
- Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
- Skill to interpret and apply rules, regulations, policies, and procedures.
- Skill in the use of computers and related equipment in a stand‑alone or local area network environment.
- Skill to prepare and maintain accurate records, files, and reports.
- Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry 15-44 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
- Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.
- Equipment used include computer and related equipment, calculator, copier, fax machine, telephone, cart, dolly, and automobile.
