Event Manager / Planner
The Department of Parks, Recreation & Culture, Cultural Events & Services Division, is seeking an experienced professional to promote the Kentlands Mansion as a rental venue for weddings, social events, and business meetings, and to plan, organize, coordinate, market, promote, and facilitate contracted social and business events and City-sponsored special event programming held at the venue.
We are looking for a positive, creative, and resourceful professional with experience in planning and implementing a wide variety of events, programs, and activities. You must be highly customer focused, poised and diplomatic, an effective communicator, have solid computer skills, be able to take on a variety of responsibilities and juggle multiple tasks and meet firm deadlines, and work effectively independently and as part of the team.

In‑office business hours at the Mansion are Monday through Friday, between 9 a.m. and 4 p.m. Approximately 15 to 20 hours per week depending on operational needs. Some regular in‑office hours weekdays and must be available to work evenings and weekends as required to manage and monitor contracted or special events. This is an ongoing year‑round position.
Starting hourly rate will be within the range and will be offered at a level consistent with the experience and qualifications of the candidate. Direct deposit of paychecks is a condition of employment for all City of Gaithersburg employees.
What you will do with us:- Plan, organize, coordinate, and facilitate a variety of community events, activities, and programs; coordinate event details for social and business clients.
- Contact potential customers to develop and generate business and respond to all leads and inquiries in a timely manner.
- Organize and implement program/event logistics and schedules.
- Provide effective preparation, management, and coordination for and monitoring of contracted events including determining equipment needs and ensuring facility is set up according to event requirements and that rental policies and procedures are adhered to.
- Train, schedule, and lead part‑time staff and volunteers for programs, activities, and events.
- Manage/monitor program budgets; keep detailed files and records; prepare reports.
- Assist staff with preparing and distributing promotional materials.
- Support other programming initiatives and events at the Mansion by attending and assisting with programs when needed.
- Provide outstanding service, pursue continuous improvement, and exceed expectations.

What you will need to be considered:- Previous experience in event planning, development, and delivery; experience in public relations, marketing, and/or journalism desirable.
- Exemplary customer service skills and strong interpersonal, analytical, organizational, time management, outreach, and communication (verbal and written) skills.
- High level of attention to detail and accuracy.
- Demonstrated ability to problem solve, prioritize, and meet deadlines.
- An understanding of the needs of an ethnically and economically diverse community.
- Proficient technology skills (Microsoft Office applications including Excel and database experience); previous experience with Active Net or other recreation management software desirable.
- AA degree or higher, or two years of relevant course work.
- Valid driver's license.
- CPR/AED and First Aid certification (may be obtained through the City upon hire).
- The physical ability to occasionally lift/carry materials or objects weighing up to 30 pounds.
- Or any acceptable equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities to satisfactorily perform the essential functions of the job.
