Job Description

Are you an experienced academic support professional ready to step into a role that shapes the delivery of one of the nation’s top online undergraduate programs? Reporting to the Associate Director for UF Online, the UF Online Academic Operations Specialist supports the academic mission of UF Online by monitoring course offerings, tracking course development/refresh schedules, and supporting new program launches. With a focus on cross‑campus collaboration and project management, this specialist leverages knowledge about UF’s academic system – including the catalog, schedule of courses, registration, learning management systems, and academic approval process – to optimize the academic delivery of UF Online.

This role understands the current curriculum at the University of Florida and will analyze academic program data to guide continuous improvement. This position primarily involves cross‑campus collaboration with academic units, with limited direct student interaction.

Responsibilities
  • Monitor Course Scheduling, Registration, and Readiness – audit upcoming term schedule of courses to ensure accuracy, completeness, and alignment with approved UF Online offerings; track and document term‑to‑term changes in course offerings.
  • Coordinate with schedulers and campus partners to ensure courses are correctly configured in Campus Solutions; identify, troubleshoot, and resolve scheduling or registration issues.
  • Monitor registration data and enrollment trends, and prepare and distribute regular reports to stakeholders, proactively flagging any concerns.
  • Review Canvas course readiness data to ensure UF Online courses are published and accessible to students by established term deadlines.
  • Evaluate feedback from UF Online academic advisors and academic data to identify opportunities for improvement and recommend enhancements to course scheduling and program delivery.
Academic Planning and Policy Alignment
  • Develop, maintain, and disseminate a centralized UF Online academic policy handbook to promote consistency, operational efficiency, and business continuity across academic units.
  • Maintain accurate, up‑to‑date program plans for each UF Online major, including online course inventory, course development schedules, and online course quality review status and designations.
  • Partner with academic units to regularly review program plans and historical enrollment data to proactively identify course development, maintenance, and update needs.
  • Analyze enrollment trends to identify courses requiring additional capacity and opportunities to improve predictability in course rotation and scheduling.
  • Support seat management and enrollment forecasting by analyzing historical enrollment data and providing data‑informed recommendations to academic partners.
Academic Program Development, Review, and Launch Process
  • Support the development of new UF Online academic programs, including majors, minors, and individual courses through research and data analysis.
  • Review and evaluate new program proposals from academic departments; prepare and present required documentation for UF Online’s Program Adoption Committee.
  • Serve as a primary liaison to academic units during the University Curriculum Committee (UCC) review process; track and communicate the status of UF Online academic approvals.
  • Following UCC approval, coordinate and facilitate the launch of new UF Online programs by guiding academic units through the launch process and connecting them with key stakeholders, including marketing, course production, and enrollment management.
Compensation

$65,000 - $75,000
