Job DescriptionCoordinate the process for housing assignment for single student housing and graduate student housing.
Responsibilities- Coordinate residence hall housing assignment administrative processes and procedures such as student applications, housing agreements, roommate requests, cancellations, and maintaining the configuration and classifications for residential spaces.
- Coordinate village housing assignment administrative processes and procedures such as student applications, housing agreements, and coordinating turn process for apartments.
- Collaborate with various university offices to share information and coordinate occupancy management functions for associated students.
- Work with departmental staff to manage occupancy processes for live-in staff members and special student populations.
- Manage undergraduate assignments student database that consists of completed applications, residence hall contracts, and wait list applicants.
- Coordinate housing assignment billing and completion of contracts related to all university-owned rental properties, including residence halls, apartments, and other properties.
- Assist with the development and implementation of policies and procedures relating to the housing assignment process.
- Develop and maintain procedural manuals for all automated and manual housing assignments‑related functions.
- Interpret and ensure compliance with departmental and University policies, guidelines, and other relevant regulations.
- Prepare reports and updates detailing occupancy statistics, rosters, status updates, and demographics.
- Collaborate with conference services to maximize summer occupancy.
- Serve as a departmental liaison for new student orientation (Preview), providing presentations and information on housing options, costs, and other information as requested.
- Provide tours of residential spaces for incoming or admitted students as needed.
- Prepare and distribute housing assignment related correspondence to parents, students, others as needed.
- Serve as the primary point of contact for Housing and Residence Life including the Housing Office front desk, answering telephone calls, managing shared inboxes, social media communications, assisting residents or visitors, explaining housing policies and/or procedures.
- Distribute essential email communications to applicants, prospective students, and residents.
- Recruit, train, and supervise student staff establishing work priorities and workflow; provide general direction and leadership for goal accomplishment.
- Responsible for administrative functions related to employee management (e.g., time approval and reporting).
- Assist with developing customer experience trainings for student staff aligning with departmental goals and evaluate progress.
- Serve on Division of Student Life or University of Florida committees as needed.

Minimum RequirementsBachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.
Preferred Qualifications- Bachelor's degree in business administration, public relations/communications, or related field.
- Experience with occupancy management within a university setting.
- Demonstrated proficiency with computers and basic software applications (e.g., Microsoft Office Excel, Word, PowerPoint, and Outlook).
- Demonstrated planning, time management, and organizational skills.
- Demonstrated communication skills (verbal and written).
- Demonstrated interpersonal skills.
- Demonstrated ability to function effectively in a fast‑paced environment with frequent interruptions.
