The Program Coordinator is responsible for directing, coordinating, and ensuring the timely progress of the proposed project. Working closely with the Program Lead/Project Director, this position ensures that the project vision, activities, and outcomes remain aligned with approved goals, deliverables, timelines, and reporting requirements.

This role plays a critical coordination function across industry partners, faculty, evaluators, fiscal staff, and community stakeholders, with particular emphasis on documentation, evaluation support, record-keeping, and compliance.

Key Responsibilities
  • Coordinate day-to-day activities of the Autonomous Systems Technician Training Hub to ensure milestones and deliverables are met on schedule.
  • Support the Program Lead in maintaining alignment between project activities, grant objectives, and workforce outcomes.
  • Track implementation progress across curriculum development, industry engagement, outreach, and program launch activities.
  • Assist with scheduling and coordination of meetings, trainings, site visits, and events (including BILT meetings and employer engagement activities).
  • Coordinate with internal and external evaluators to support data collection, tracking, and reporting requirements.
  • Maintain accurate project records, including attendance logs, partner engagement documentation, curriculum artifacts, and workforce metrics.
  • Assist in compiling quarterly and final performance reports for funders and institutional leadership.
  • Ensure documentation supports equity, workforce, and outcomes reporting requirements outlined in the grant.
Stakeholder & Partner Coordination
  • Serve as a liaison between the Program Lead, faculty, industry partners, workforce agencies, and college departments.
  • Support coordination with industry partners involved in internships, apprenticeships, and work-based learning.
  • Assist with communication and follow-up related to MOUs, letters of commitment, and partner participation.
Administrative & Compliance Support
  • Support fiscal and administrative processes in coordination with the college’s grants and fiscal offices.
  • Assist with tracking allowable activities and expenditures relative to project timelines (budget oversight remains with fiscal agent).
  • Ensure compliance with institutional, district, and grant requirements.
Minimum Qualifications
  • Bachelor’s degree from an accredited institution OR equivalent combination of education and relevant experience.
  • Demonstrated experience coordinating programs, projects, or initiatives—preferably in education, workforce development, or technical training environments.
  • Strong organizational skills with the ability to manage multiple tasks, timelines, and stakeholders simultaneously.
  • Experience with data tracking, documentation, and record-keeping for grants or funded projects.
  • Excellent written and verbal communication skills.
  • Proficiency with common productivity tools (Microsoft Office, Google Workspace, spreadsheets, shared drives, project trackers).
Preferred Qualifications
  • Experience working with grant‑funded workforce or CTE programs.
  • Familiarity with industry partnerships, apprenticeships, or work‑based learning models.
  • Experience supporting evaluation or reporting for state or federal grants.
  • Knowledge of or interest in autonomous systems, advanced manufacturing, aerospace, robotics, or related technical fields.
  • Experience working in or with community colleges or public education institutions.
  • Demonstrated commitment to equity, access, and workforce pathways for underrepresented populations.
Employment Terms
  • 20 hours per week (0.50 FTE)
  • $45.00 per hour
  • Schedule may be flexible, with some evening or event hours as needed.
  • Position is grant‑funded and limited to one year, contingent upon continued project funding and satisfactory performance.
