Overview

Cal State Fullerton Extension seeks an exceptional individual to join our team as the Senior Program Coordinator (Administrative Support Coordinator II). The role provides administrative support to self‑support degree, postbaccalaureate, credit certificate and/or other programs that enroll domestic and international students, and involves planning and overseeing day‑to‑day operations related to facilities, courses, instructors, and students.

Classification: Administrative Support Coordinator II

Department: University Extension Program Administrator

Sub‑Division:

Salary Range: $4,367 – $4,400 per month

Appointment Type: Ongoing

Time Base: Full Time

Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM;
Occasional early morning, evening and/or weekend hours.

Responsibilities
  • Provide administrative support to self‑support degree, postbaccalaureate, credit certificate and/or other programs that enroll domestic and international students.
  • Plan and oversee day‑to‑day operations related to facilities, courses, instructors, and students; work independently and collaborate with academic departments for scheduling and instructor assignments.
  • Assist with student recruitment, enrollment, and administrative support; support and participate in information sessions and orientations.
  • With guidance from Team and Program Leads, determine solutions and recommendations on study plans, registration, and prerequisites.
  • Support marketing communications for assigned programs; revise and update program websites; provide programmatic data and recommendations for improvements.
  • Interact with administrators, faculty, staff, students, and community partners; represent Extension with external partners.
  • Serve as a member of the Student Services/Registration unit, providing information, enrollment support, and front‑line customer service in person, by phone, and online as needed.
  • Perform other duties as assigned.
Essential Qualifications
  • High school diploma or equivalent; five years of progressively responsible experience in general office, clerical, or secretarial work.
  • Comprehensive knowledge of applicable university policies and procedures; mastery of English grammar, punctuation, and spelling.
  • Proficiency with office software and systems; ability to manage multiple priorities and projects independently.
  • Ability to interpret and apply policies, exercise judgment, and act in the absence of precedents.
  • Strong problem‑solving, budgeting, and analytical skills; ability to perform business math and analyze budgetary data.
  • Effective written and verbal communication; ability to present reports and handle interpersonal interactions at all levels.
  • Negotiation and persuasion skills to expedite projects.
  • A background check is required; conditional offer of employment may be rescinded if disqualifying information is found.
Preferred Qualifications
  • Comprehensive knowledge of CSUF infrastructure, academic and student records policies, procedures, and systems.
  • Two to three years of international customer/student service experience.
  • Experience using Salesforce CRM.
