Overview

This is a full‑time Monday‑Friday 8:30 am–5:00 pm position with no weekends, call, or major holidays. The role supports the Frisco location of Texas Oncology, the largest community oncology provider in Texas. Texas Oncology delivers evidence‑based cancer care and the US Oncology Network is one of the nation’s largest community‑based oncology networks.

What does the Scheduler do?

Under direct supervision, the Scheduler schedules patient appointments and tests efficiently and timely, answers all incoming calls, directs calls to the appropriate personnel, serves as a liaison between patients and medical staff, and may include outside scheduling and/or surgical scheduling responsibilities. The Scheduler supports and adheres to the US Oncology Compliance Program.

Responsibilities
  • Answers all incoming calls; assesses callers’ needs and directs to appropriate personnel, and pages clinic personnel as needed.
  • Schedules new patients, referrals, and returning patients in the computer system according to physician and office guidelines, including documentation and coding.
  • Updates and reschedules appointments based on physician schedule changes and notifies clinic personnel.
  • Obtains and enters all insurance authorizations and referral correspondence into patient charts or EMR.
  • Collects co‑pays, deductibles, and other out‑of‑pocket amounts at the time of visit.
  • Maintains the primary office scheduling template that includes physician meetings, satellite schedules, rounding, and call coverage.
  • Arranges financial counseling for patients as needed.
  • Demonstrates an understanding of patient confidentiality.
  • Follows policies and procedures to improve front office efficiency and covers for other front office functions as requested.
  • Prepares correspondence, memos, forms, and other typing tasks as requested by supervisor.
  • Schedules outpatient appointments/testing/surgeries and hospital admissions when requested, obtaining necessary pre‑certification.
  • Communicates with patients about surgeries or tests being scheduled and potential prep work, gathering required information.
  • Follows up on all pre‑operative tests to ensure clearance for surgical procedures and communicates with physicians and patients if additional testing is required.
  • Schedules post‑operative follow‑up appointments with physicians.
  • Possesses a basic understanding of medical terminology for tests and surgical procedures, including coding and lookup of specific codes for diagnosis, surgery, and scheduling procedures.
Qualifications Level 1 (Entry Level)
  • High school diploma or equivalent.
  • 0–3 years of experience in a medical office setting preferred.
  • Knowledge of medical terminology, scheduling, or authorization experience preferred.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) required.
Level 2
  • Minimum three years of office experience, preferably in a medical office setting.
Level Sr
  • Minimum five years of office experience, preferably in a medical office setting.
  • Knowledge of medical terminology and coding required.
Physical Demands

The job may require sitting for long periods, stooping, bending, stretching for files and supplies, occasionally lifting files or paper up to 30 lb, operating a keyboard, calculator, telephone, and copier, with vision requiring correction to 20/20 and hearing within the normal range.
