Position Summary
This position coordinates daily with the Director of Executive Administration, manages the physical workspace of our organization, and oversees maintenance, inspections, repairs, inventory, while also coordinating with vendors and contractors.
SchedulePart-Time 20 to 25 hours/week (hours will vary quarterly)

Essential Duties- Maintain a high degree of confidentiality at all times due to access to sensitive information
- Maintain regular, predictable, consistent attendance and is flexible to meet the needs of the department
- Oversee the mail room, deliver, scan and post mail, assist with package sending and retrieval
- Monitor the inventory of office supplies, beverages, and order new ones as needed
- Stock all kitchens and breakrooms
- Stock all copy rooms with paper, monitor printer cartridges for personal printers
- Resolve office-related issues (submit Building Engines work order or contact maintenance/security as needed)
- Ensure proper scheduling of conference room(s) set up and take down for meetings
- Maintain and organize the storage areas
- Supervise contractors and vendors as they relate to maintenance of equipment and facilities
- Backup Receptionist on vacation/sick days
- Other duties as assigned

- Ability to multi-task under tight deadlines
- Strong communication skills and interpersonal skills
- Ability to bend, lift, push, pull up to 25 lbs.
- Proficiency with Word, Outlook, Excel

The employee frequently is required to reach with hands and arms. The employee is occasionally required to stand, walk, and stoop.
Specific vision abilities required by this job include close vision and the ability to adjust focus.
Moderate noise level similar to a typical office environment with computers, printers, and work activity.
