This 16‑story hotel features 300 beautifully appointed guest rooms and suites and a range of meeting spaces to accommodate gatherings of any size. Job Description

Handles all administrative duties required by the Sales and Marketing Divisions to provide superior services to guests.

Responsibilities
  • Schedule and prioritize workload to meet managers’ deadlines.
  • Type and distribute all correspondence (letters, emails, proposals, contracts, etc.) ensuring 100% accuracy.
  • Maintain reader and account files, ensuring all required information is included.
  • Check own mailbox daily (morning and afternoon).
  • Answer calls to the sales office no later than the third ring.
  • Ensure managers receive timely messages with detailed caller information.
  • Enter group information and work orders in Access and Synergy as directed by managers.
  • Assist unassigned managers as needed.
  • Update bulletin boards for assigned months.
  • Gather materials and mail packages to clients as required.
  • Take detailed inquiry leads and submit to appropriate manager.
  • Input amenities into Epitome for VIP clients and process paperwork (amenity card, receipt signatures from Room Service).
  • Process outgoing mail.
  • Cover for reception during lunch.
  • Takes minutes at committee or assistant meetings as directed.
  • Participate in schedule rotation for late coverage on days the office closes early.
Qualifications
  • Ability to work independently as well as in a team.
  • Strong communication skills.
  • Extremely computer savvy (Microsoft Word, Publisher, Outlook, Express, Excel).
  • Knowledge of Delphi, Opera, and Synergy preferred.
  • Previous hotel experience preferred.
  • Excellent organizational skills.
