Medical Assistant RoleReporting to the Clinical Director for clinical matters and the Practice Manager for non-clinical matters. The Medical Assistant coordinates care between patients and providers, conveys messages, assists patients with requests for prescription refills, sample medications, paperwork, and related tasks. The Medical Assistant will also administer injections and treatments under the care of the Provider and direction from the Clinical Director. The successful candidate will be a dynamic team member for the organization with strong problem-solving skills.
Job Description Patient Assessments and Care- Complete patient assessments including vital signs, blood pressure, pulse, height (for children only), weight, and temperature.
- Obtain consent for injections or procedures before the visit.
- Complete urinalysis and genetic testing.
- Administer injections under the direction of the Supervising Provider.
- Obtain lab results and ensure they are uploaded to the patient chart and accessible by the Provider.
- Complete medical releases for records and prepare records for review by the Provider.
- Assist the Provider in completing requests for disability and work-release paperwork.
- Know and follow necessary protocols during emergency situations that may require contacting 9-1-1, police, or other first responders.
- Stay informed and up to date on emergency procedures at all times.
- Execute de-escalation protocols in case of emergency.
- Document emergency encounter information in the patient chart and have the Provider review.
- Check faxes and distribute to appropriate persons (referrals and medical records requests).
- Coordinate messages between patients and providers through ECW encounters. Respond to patient encounters within 24 hours of receiving messages.
- Schedule patients as needed, including new patient appointments, follow-ups, injections, and Spravato Treatments.
- Utilize systems such as ECW, Ring Central, Freshdesk, and Freshchat to coordinate messages. Convert tickets to ECW encounters and address in this system.
- Respond to prescription requests within 24 hours of receiving them.
- Manage prior authorizations, including receiving, completing, and submitting in a timely manner.
- Coordinate prescription refills and verify that the chart contains correct pharmacy and patient information.
- As assigned, complete phone triage, document calls, and collaborate with the interdisciplinary team.
- Compile information for patient charts, including scanned documents such as record releases, consent for care or treatment, letters for care correspondence, and legal documents necessary for care.
- Manage sample medications, maintain a log of available medications, expiration dates, and contact information for drug representatives. Ensure the medication sample cabinet is locked at all times and dispose of expired medications per guidelines.
- Complete provider requests as necessary.
- Work effectively and collaboratively in a multi-disciplinary team to ensure an excellent patient experience. Coordinate with other departments for patient care.
- Maintain composure in high-stress situations, including crisis situations via telephone or in person, to determine appropriate next steps in the assessment process.
- Knowledge of behavioral health services/treatments, medications, and mental health scales.
- A minimum of one year of progressively responsible support services work preferred.
- Position prefers candidates who are registered or certified Medical Assistants. Ongoing CEU credit requirements must be met yearly, if applicable.
- Ability to multitask and work in a fast-paced environment.
