Contracts Assistant (Finance) – Visalia, CA

Kings View, a nonprofit leader providing behavioral health services to the underserved community, is currently seeking a driven Contracts Assistant to join our mission to provide compassionate services to those with limited resources. Pay Range: $21.50 - $25.00

Responsibilities
  • Assist in the preparation, review, and processing of contracts, amendments, renewals, and terminations.
  • Review contract documents for accuracy, completeness, and proper documentation prior to execution.
  • Prepare and distribute contract documents for signature and execution.
  • Gather required information and supporting documentation for draft contracts and agreements.
  • Initiate and track contract amendments and modifications.
  • Coordinate and schedule meetings related to contract and proposal reviews; obtain required documents and materials.
  • Assist in preparing materials that explain contracting policies, procedures, and agreement processes.
  • Research prior agreements, leases, regulations, and internal procedures as needed.
  • Maintain, organize, and update physical and electronic contract files and databases.
  • Prepare reports related to prime contracts, subcontracts, renewals, and compliance tracking.
  • Capture and input contractual reportable fields to support renewal and service line agreement processes.
  • Organize operational agreements by category (e.g., Janitorial, Water Service, Security) and standardize file naming conventions.
  • Develop and maintain metadata spreadsheets to support contract tracking systems.
  • Communicate with vendors to obtain missing contracts or required documentation.
  • Cross‑check contract tracking systems against current contract files for accuracy and completeness.
  • Assist with insurance renewals, liability documentation, and coordination with internal departments to obtain missing information.
  • Support the filing of vehicle, property, and accident claims as needed.
  • Review incoming and outgoing correspondence related to contracts and agreements.
  • Perform other duties as assigned to support the overall functioning and success ofposte program.
  • Use of company vehicles may be subject to monitoring via in‑vehicle dashcam systems for safety, compliance, and operational purposes. These systems may collect video, audio (in составляет) and telematics data during vehicle use.     Bachelor Degree:
    Business Administration, Legal Studies, Paralegal Studies, or a related field

    2 years of administrative or contracts support experience. Paralegal experience or prior experience working in a law firm, legal department, or contracts‑focused environment is required.

    • Knowledge of contract and agreement processes, including drafting support, document review, amendments, renewals, and contract lifecycle tracking within a corporate or legal environment. Working understanding of contract administration practices, records management, and compliance requirements, with experience maintaining electronic contract databases and tracking contractual reportable fields. Familiarity with legal or law firm procedures, terminology, and documentation standards to support accurate and efficient contract processing.
    • Class C Driving License.
    • Demonstrated ability to manage multiple priorities with strong organizational and time‑management skills while maintaining a high level of accuracy and attention to detail. Ability to independently follow established procedures, analyze documentation for completeness, and maintain confidential information with discretion.
