We are seeking a reliable and organized Office Support Specialist to help ensure the smooth and efficient operation of our daily office activities. This role plays a key part in supporting team productivity, by performing a variety of administrative and clerical tasks, managing information flow, and ensuring data accuracy and integrity across our systems. The ideal candidate is proactive, detail-oriented, and adaptable of managing multiple tasks in a fast-paced environment.
Essential Functions
• Provide comprehensive administrative and clerical support to managers and employees.
• Serve as the first point of contact for visitors, employees, and vendors, greeting them professionally and directing inquiries appropriately.
• Answer and direct incoming phone calls and manage general email correspondence in a timely and polite manner.
• Sort and distribute incoming mail and packages and prepare outgoing correspondence.
• Conduct regular audits of entered data and existing records to verify completeness, accuracy, and compliance with internal policies and data protection guidelines.
• Identify and correct data discrepancies and errors, following up with relevant staff to ensure resolution.
• Manage office supplies inventory, place orders, and ensure all common areas and equipment (printers, copiers, etc.) are well-maintained and operational
Requirements
- Bilingual (English/Spanish) preferred
- Excellent organizational, time-management, and multitasking skills.
- Ability to work independently with limited supervision and collaboratively as part of a team.
- Strong attention to detail and a commitment to accuracy, especially when working with confidential information and data.
- A professional, positive, and empathetic attitude, along with a commitment to providing excellent support, is highly valued.
- Resourcefulness and strong critical-thinking abilities to handle unexpected situations and resolve day-to-day issues.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Proven experience in an office assistant, administrative, or relevant support role is highly preferred.
