Job Overview
Under general supervision, performs a variety of highly responsible accounting operations duties in the preparation, processing and maintenance of accounting transactions and records; and performs related duties as assigned.
Responsibilities- Performs accounts payable duties for college co‑cultural and athletic activities, student clubs, scholarship recipients and other college‑specific accounts; reviews requisitions and purchase order requests, verifies proper account codes and approvals; prepares purchase orders; reviews invoices and payment requests; submits to manager; prints and mails checks; matches invoices and enters into the system; verifies statements and balances.
- Assists students at the cashier window; accesses student accounts; takes payments for balances, transcripts, parking permits, etc.; records transactions; processes payments for Associated Student Body cards; issues receipts; balances cash and credit card payments; researches credit card refunds; closes out cash drawers.
- Performs accounts receivable duties; prepares bills for agencies sponsoring students (e.g., Veterans Administration, Workforce Investment Board); uploads student data; deposits payments; monitors VA payments; coordinates adjustments; reports tuition and fee funding changes; creates payments for VA debt; vouchers refunds.
- Performs cash management duties; reconciles daily cash payments; prepares bank deposits; performs monthly cash vault reconciliations; counts and verifies deposits of parking, library and athletics receipts.
- Provides day‑to‑day guidance to student aides; assigns, schedules, monitors work; provides instruction and training on procedures and regulations.
- Assists in disbursement of financial aid; runs reports; voids stale checks; maintains logs; assists with monthly reconciliations; runs aging reports.
- Audits student accounts for errors in awards, adjustments and payments; verifies refunds and credits.
- When assigned to Reedley Food Services department, prepares requisitions for food staples and other items; processes invoices; maintains inventory; balances cash receipts; posts payrolls.
- Demonstrates sensitivity to historically minoritized groups; participates in professional development for cultural competency.
- Processes student payment worksheets; reconciles dorm/café accounts; maintains dorm worksheets.
- Assists payroll staff; matches time slips; enters absences; verifies payroll accuracy; processes payroll checks.
- Performs clerical and administrative duties: answers telephone, distributes mail, maintains office calendars, types correspondence, maintains office supplies inventory.
- Performs related duties as assigned.

- Knowledge of district policies and procedures governing purchasing, accounts payable, cash handling and financial transactions.
- Basic bookkeeping methods and practices.

- Federal, state and district regulations governing financial aid.
- Use of district enterprise accounting and student accounting systems.
- Federal Privacy Act regulations concerning private information.
- Customer service practices and etiquette.
- English usage, spelling, grammar and punctuation.
- Modern office practices and equipment.
- Ability to make detailed comparisons, calculations and tabulations of financial data.

Graduation from high school or GED equivalent supplemented by college coursework in accounting and at least two years of progressively responsible financial or statistical record‑keeping experience; or an equivalent combination of training and experience.
Completion of sixty college units including fifteen units in accounting OR an associate degree in accounting, business, or a related field is desirable.
