Overview

Full‑time, year‑round Maintenance Office Assistant (Entry‑to‑Mid‑Level). Duties include greeting visitors, answering and distributing calls, providing clerical support, and managing maintenance division schedules and timekeeping.

Responsibilities
  • Greet and receive all visitors, directing them to the proper individual or department.
  • Answer, screen, and dispatch calls while maintaining daily call logs/work lists for all trades.
  • Provide clerical support: execute documents in Docu Sign, scan, file, type correspondence, create spreadsheets, sort and distribute mail, and coordinate events.
  • Enter purchase order requests in JD Edwards and process packing lists and invoices.
  • Maintain and track all open invoices through the OnBase system; process receipts and invoices in JD Edwards, Smartsheet, and OnBase on a daily basis.
  • Troubleshoot issues with invoices not clearing in OnBase.
  • Create and distribute a monthly spreadsheet of open purchase orders to leaders.
  • Review and correct departmental labor time‑clock entries in Kronos; obtain required approvals for time edits.
  • Update and maintain maintenance division schedules; track associate attendance via hard cards, spreadsheets, and Kronos.
  • Assist with organization and distribution of employee incentives.
  • Data entry of all work records on a daily basis.

Qualifications
  • High school graduate or GED.
  • Knowledge of office practices, computer literacy, and data entry skills; proficient keyboarding 50‑55 wpm.
  • Experience with Smartsheet, Microsoft Office, Windows, JD Edwards, Kronos, OnBase, and Docu Sign.
  • Strong organizational, multi‑tasking and communication skills.
  • Ability to work nights, weekends and holiday periods as required.
  • Ability to pass a mandatory (or random) drug test, unless prohibited by law.
  • Ability to pass a background check if 18 years of age or older, subject to policy and lawful restrictions.
