the sasa business associate supports the day‑to‑day budget and fiscal operations for the department of system accountability and school administration. The position supports routine financial transactions across seven cost centers in the fcps operating budget, including all fcps school budgets, and assists the supervisor in supporting the financial specialists managing restricted fund budgets such as title i, concentration of poverty, and other restricted funds.

reporting directly to the sasa business supervisor, the sasa business associate performs the following duties:

  • prepare budget worksheets using prior years’ data.
  • monitor current‑year expenses and revenues for all funds (restricted and unrestricted).
  • prepare and analyze routine and periodic budget reports.
  • research and recommend corrective actions for budget variances.
  • explain budget policies, procedures, and reports to directors, supervisors, and secretaries.
  • support or facilitate budget actions so all management levels can attain programmatic goals.
  • assist principals, secretaries, or other school staff in resolving budget variances.
  • help identify and prepare long‑term budgetary goals.
  • complete and assist with purchase orders.
  • monitor individual budgets for 70 schools and sasa department cost centers.
  • complete journal entries when required.
  • manage funds and spending for department and school‑based travel and conferences.
  • ensure internal controls of the sasa budget, including restricted and unrestricted funding sources.
  • respond to stakeholder inquiries about department budget entries, submissions, and adjustments.
  • review the accuracy of budget transfers, accounts‑payable requests, mileage reimbursements, and recommend changes.
  • support financial specialists for title i and concentration of poverty in compliance with fcps policies and regulations.
  • collaborate on monitoring school‑based budgets to maximize utilization of braided funding sources.
  • review supplemental time entries, submit them, and reconcile supplemental pay amounts each payroll period.
  • track professional leave days per the fcta contract.
  • track the purchase and replacement cycle of devices through inventory process.
  • attend training sessions and conferences as requested or required.
  • answer telephone calls, take messages, greet visitors, make appointments, and provide information.
  • use experience and judgment to resolve problems and prioritize work on behalf of the department.
  • maintain proficiency in technology to meet administrative needs and train others as needed.
  • order and receive supplies and check invoices.
  • prepare, type, and proofread materials, reports, and presentations for executive meetings and the public.
  • prepare contracts/mou's for routing to legal services and the superintendent’s office for approval.
  • support conference and grant specialists to ensure compliance with federal, state, and local requirements.
  • learn and navigate fcps systems including people soft and all time‑reporting systems.
  • prepare reports for sasa operating budget, title i, and cop grant funds for stakeholders.
  • assist with project evaluations and monitoring of activities.
  • schedule meetings and reserve meeting space for supervisor of sasa budget.
  • record meeting minutes and update internal tracking mechanisms.
required qualifications
  • associate’s degree in business, accounting, or closely related field, or equivalent experience.
  • minimum of 2 years of budgetary or administrative experience, including preparing and administering a large budget.
  • physical requirements: sitting, walking, standing, climbing stairs, repetitive hand motion, fine manipulation, grasping, lifting up to 25 lbs, seeing close work, distinguishing colors, hearing, communicating orally and in writing, and performing essential functions with or without accommodation.
