Job Title:
Administrative Assistant to the Associate Vice President, School of Technology, Trades, Business, and Hospitality
Pay Rate: $32.47 - $35.72 hourly

- Serve as the point of contact for School of TTBH and the AVP/Dean; receive and screen internal and external visitors, telephone calls, and emails while maintaining utmost discretion and confidentiality. Assist employees with employment paperwork, ensuring completeness and accuracy.
- Serve as a welcoming, effective, and efficient communicator when greeting callers and visitors to ensure excellent customer service to internal and external constituents via phone, email, and face-to-face communication.
- Support the academic processes and procedures for the School of TTBH.
- Serve as the liaison to the office of the Provost/Vice President for Teaching, Learning, and Student Success.
- Coordinate and manage the calendar for the AVP/Dean of TTBH, including scheduled meetings, events, conferences, and one-on-ones with direct reports and other activities with particular attention to preparation, logistics, and briefings.
- Attend meetings, draft presentations, record and disseminate minutes, and prepare correspondence and other materials supporting initiatives.
- Order office supplies, employee name badges, and other materials, supplies, and services as requested.
- Develop and maintain departmental documents, systems, and electronic tracking methods to support and ensure the efficiency of the School of TTBH. Maintain appropriate information, document storage, and retrieval.
- Develop and maintain systems to support the AVP/Dean of TTBH office and automation of processes using electronic forms and software packages. Maintain appropriate information, document storage, and retrieval systems.
- Monitor budgets, including tracking and maintaining expenditures, reconciling accounts, providing reports, preparing purchase orders, vouchers, and budget transfers.
- Make travel arrangements (flights, hotel, conference registrations), and prepare travel itineraries and expense reports.
- Monitor correspondence from community members, both internal and external, regarding questions and clarifications.
- Assist with logistics for special events and projects for the School of TTBH, the College, and employee-facing events.
- Perform other duties as assigned.
Minimum Qualifications
- Associates degree or two years of related administrative support experience.
- Four years experience working in a customer service environment.
- Excellent verbal and written communication skills.
- Experience with Microsoft Office Suite.
- Demonstrated ability to maintain strict confidentiality.
- Perform duties efficiently and in a fast-paced environment.
- Experience handling conflicts and challenging situations.
- Ability to perform multiple, simultaneous tasks.
- Ability to work independently with minimal supervision.
- Experience using People Soft HR, Perceptive Content, and working knowledge of relational databases.
- Proven interpersonal communication, oral and written, and customer service skills that will accommodate daily interactions with students, faculty, administration, and clientele.
