role

the accounts payable associate reports to the accounts payable officer and is responsible for providing financial and administrative services. The position is primarily responsible for processing and monitoring payments and expenditures in an efficient manner to ensure accurate financial records, vendor and supplier payments within established time frames.

essential functions
  • receives, verifies, and codes invoices and requisitions for goods and services.
  • verifies that transactions comply with established financial policies and procedures.
  • prepares batches of invoices for data entry.
  • completes data entry of invoices for payment into the financial management systems.
  • manages weekly check runs (including ach and sua types) and prepares off‑cycle checks as needed.
  • reconciles vendor statements, researching and correcting discrepancies.
  • monitors the flow of documents to ensure all proper procedures are accomplished in a timely manner.
  • maintains liaison with both fcps peoplesoft end users and vendors in matters relating to accounts payable.
  • prepares accounting reports from various databases and other sources for internal or external use.
  • initiates, processes, and reviews a variety of accounting transactions (e.g., vendor payments, 1099 processing, customer invoicing).
  • assists with year‑end closing processes.
  • maintains historical records by scanning and filing documents to ensure accounting correspondence, records, forms, and other information are maintained per established policies.
  • interprets established laws, rules, regulations, and fiscal policies and procedures as they apply to functions within accounts payable and other specialized accounting work.
  • assists in audits as needed.
  • trains school‑based staff at in‑service and one‑on‑one training as needed.
  • serves as backup for other accounting functions as needed.
  • performs other duties as assigned by the accounts payable officer.
overtime

overtime hours may be required. The position is non‑exempt under the fair labor and standards act.

required qualifications
  • high school diploma or equivalent (g.e.d.).
  • five (5) years of accounting, administrative, or accounts payable experience.
preferred qualifications
  • experience in peoplesoft accounts payable applications.
  • previous work experience in a public education or government setting.
  • previous experience in microsoft office suite and google suite applications.
knowledge, skills, and abilities
  • demonstrated proficiency in office technology to meet administrative needs.
  • demonstrated ability to effectively use word processing, database, spreadsheet, and e‑mail software.
  • demonstrated ability to maintain confidentiality.
  • demonstrated ability to communicate clearly and concisely in oral and written form.
  • demonstrated ability to work under pressure and maintain flexibility.
  • demonstrated strong human relations skills.
  • demonstrated proficiency in business math.
