Position Summary

The Planning and Zoning Clerk is responsible for the administrative coordination and operational support of the Planning and Zoning Department. This position serves as a key point of contact for the public, developers, contractors, and internal staff, ensuring the accurate procession of permits, land use applications in compliance with municipal codes and state regulations. The role requires sound judgment, discretion, strong organizational skills, and the ability to manage multiple priorities in a deadline‑driven environment.

Essential Duties and Responsibilities
  • Receive, review for completeness, and process zoning permits, land use applications, and related documentation.
  • Maintain accurate and organized permits, property, and case records in both physical and digital formats.
  • Prepare and distribute meeting agendas, packets, public notices, and minutes for Planning Commission and Board of Adjustments.
  • Coordinate public hearings, including legal notices, mailings, publication requirements, and posting in compliance with state and local regulations.
  • Serve as the primary customer service contact for zoning inquiries, providing information regarding ordinances, procedures, application requirements, and timelines.
  • Track application status, monitor deadlines, and ensure timely routing of materials for review and approval.
  • Maintain and update zoning maps, records, and databases.
  • Calculate applicable fees for permits and other related documentation.
  • Perform general duties including filings, scanning, data entry, scheduling, and correspondence.
Educational and/or Experience Requirements/Qualifications
  • Associate degree preferred but not required.
  • Candidate must possess High School Diploma or GED.
  • Strong organizational, record‑keeping, and time‑management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and database management systems.
  • Experience providing customer service in a public‑facing role.
  • Ability to interpret and apply policies, procedures, and regulations.
  • Local government or public sector experience preferred but not required.
  • Experience working with permit‑tracking or land management software preferred but not required.
  • Familiarity with local zoning codes, local land use regulations, local subdivision processes, and local municipal procedures – preferred but not required.
  • Experience coordinating public meetings or working with elected or appointed boards – preferred but not required.
  • Basic knowledge of GIS systems and map interpretation – preferred but not required.
  • Ability to clearly explain technical information to diverse audiences – preferred but not required.
Essential Physical and Environmental Demands
  • Ability to access a computer, typically using hands and fingers.
  • Ability to lift up to 25 pounds as required.
  • Work is typically performed in an office setting at a desk or table with intermittent standing or stooping.
